Steps to Add Logo on ESS Portal

This feature is used when the user wants to upload the company logo or need to update the existing logo on the ESS portal.

For adding a new logo and to update the existing logo, a user needs to access the same screen.

Only admin users can access this page.

The Prerequisites before uploading the Logo are as follows: –

  • Dimensions required for uploading the logo are: 80*47 px
  • The logo name must be: logo.gif

Steps for adding/ updating the company logo: –

1. ESS Portal Homepage:

Navigation: – Access the portal > click on “?”option > click on Tools > Custom files.

If there is no default folder available in Root folder, then system will ask you to create the folder, click on Yes to create the folder as shown below.

2. Select Images option from destination folder

Note: – If there is no default folder available in Images folder, then system will ask you to create the folder, click on Yes to create the folder as shown below

3. Click on select file option

4. Select the image file from the drive as shown below, after selecting the image click on the Open button.

5. Click on Add file button.

6. Once you have added the file, system will give a pop-up click on Yes button

7. Logo file will get added as shown below

Log out from the ESS portal and log in again for changes to get effective in the portal.

Company Logo will get displayed in the highlighted area as shown below.

So this is how the company logo can be added/updated by the admin users.

How to configure Financial Data Extraction in Sage X3 with Type of extraction as “Account root”?

The Purpose of the Financial Data Extraction is representing Financial Data of an Organization/Company in form of Financial Reporting to their concerned stakeholders.

This will help to evaluate the Company’s performance over specific period (Half-yearly/Yearly), eventually helping the management to take effective decisions based on the financial reports generated.

To generate financial reports, Balance Sheet and Profit and Loss statements should articulated as desired by the company.

Navigation Steps– Setup > Financials > Accounting Forms > Financial Data Extraction > NOLIMIT 99 columns maximum

  • Click on New button to create new statement structure for extraction.

  • Enter Extraction name and its description.
  • Enter Group, to present a left list hierarchy by report group/grid.
  • Enter Default general reference as ‘Legal’ and Default analytical reference as ‘Analytical’.

  • In the Definition tab>Columns grid, enter the list of Columns required while reporting.
  • Fill in the other relevant details like Entry (Entered/Display/Hidden), Style (Bold/Italic/Bold Italic), Effect (Normal/Closed/Underlined), Scale factor and Decimals.

  • In Site Detail field select “FCYNAM” referred to as financial year name.
  • In BP detail select “BPRNAM” referred to as Company name.

  • In Line tab, define the format/structure of the Financial Data Extraction. This Format definition will reflect the structure of the report when the data is exported.
  • In the “Title” column, define the Head Labels of the accounts.
  • In the “Actual” Column, map the respective title of the accounts to its respective account code.
  • For mapping of accounts in Actual column, click on Action button of that particular row> Add. Below pop up screen opens.

  • Select “Type of Extraction” as Account Root, this will enable Start Root and End Root fields, else the respective fields are non-editable.
  • By clicking on the Search button in the Start Root and End Root fields, the above shown Account Selection pop up opens.
  • Select the relevant accounts in the respective fields.
  • Click on OK button and the selected accounts will be set in the Actual Column in the Lines tab and SAVE the record.

The data in the fields will be fetched automatically while doing report extraction activity as per the accounts which are tagged in the above fields.

Configuring Financial Data Extraction in Sage X3 with Type of extraction as Reporting code

The Purpose of the Financial Data Extraction is representing Financial Data of an Organization/Company in form of Financial Reporting to their concerned stakeholders.

This will help evaluate the Company’s performance over specific period (Half-yearly/Yearly), eventually helping the management to take effective decisions based on the financial reports generated.

Financial reports, Balance Sheet and Profit and Loss statements can be articulated as desired by the company.

The user needs to define the Reporting Code in Accounts as described below:

  • Navigation Steps– Common data> G/L Accounting> General > Accounts> Reporting tab

  • Enter the Reporting codes in Debit and Credit sections.
  • Now while defining the same in the Financial data extraction using the “Type of Extraction” as Reporting Code, follow these below steps:
  • Navigation Steps– Setup >Financials > Accounting Forms> Financial Data Extraction> NOLIMIT 99 columns maximum.
    Now the account roots fields are not editable.
  • Select the respective Financial Data Extraction from the left list and Click on Line tab.
  • Click on action button on the desired row and click on Add.

  • Below pop up screen opens.

  • Select the “Type of Extraction” as Reporting Code, this will enable the No/code reporting fields.
  • In these fields enter the Line number and the reporting code respectively that was entered in the Accounts.

These fields will fetch data automatically while doing report extraction activity from all the accounts which are tagged with CIH reporting code.

There are two scenarios which would require Summation:

  1. Taking sum of accounts
  2. Taking sum of groups and subgroups
  • For taking sum of accounts go to the action button on the totals row, click on Add.
  • Now select “Sum of cells” option from Formula type.

  • Once it is selected the sum section fields will be editable, rendering all other sections non-editable.

  • Select the Extraction Name, the Start line and the End line from the Account Line tab and Press OK.

This would sum all the accounts present in the selected Line range.

Note- For summation of individual rows. Enter the line numbers with a space between each line number as: – L10 L16 L25 which will give the sum of the individual rows.

Setting default tax rule and payment term for BP’s

As we know, Sage X3 provides masters for each object used in it like Business Partner, Product, Company, Site etc. We can setup various things for these objects such as id, name, and address etc. on their respective Master screens. Similarly on BP’s master, we can set up default payment term and tax rule against respective company and that BP.

This Business partner can be converted to Customer, Supplier and Sales rep, Carrier or Prospect. In case of customer and supplier, we can define default payment term as well as tax rule for the same. Sage X3 provides a special tab “BP/Company” wherein we can define these default values.

Follow below steps to achieve this:

  1. Navigate to Common data > BP’s > Bps
  2. Select BP for which you want set up default tax rule and payment term.

3. Here, you can define default values against respective BP and company. Also, if BP is a customer then Customer tax rule and customer payment term will be fetched while creating sales transactions against particular BP and company. Similarly, if BP is a supplier then Supplier tax rule and Supplier payment term will be fetched when purchase transactions are created  against particular BP and company.

Consider following example for better understanding.

  • For Customer “AO001”:

If we create sales order for site “NA001” of company “NA10” against this customer, then you can see in below screenshot, tax rule will be set as “EXP” and payment term will be set as “CH30NET” which is already defined in BP master as above.

  • Similarly when you create purchase order for site “NA001” against supplier “AO053”, as per above setup, tax rule and payment term will be set as “NTX” and “CH30NET”. Refer below screenshots:

In case, no default value is set for any company against particular BP then whatever tax rule and payment term is defined on Customer/Supplier masters will be fetched during Sales order/Purchase order creation respectively. Thus, “BP/Company” tab will allow us to easily set tax rules and payment terms for different companies and access them during transactions .

How can we prevent a PO being generated for a Back-to-back sales order on manual hold in Sage X3 version 12

In our previous blog, we have discussed regarding the process to create a Back-to-back order by using the sales orders. In this blog we will see How to create a Back-to-back order if sales order is on manual hold.
However, in a Sage X3 when sales order status is on manual hold, then user can’t create a purchase order by using back to back order functionality.
In a Sage X3 version 12 release, there is an enhancement to prevent a purchase order generation when back to back sales order is on manual hold.

To enable this amendment you need to follow the steps below.

Navigate To: Sales >Orders>Sales order

1. As you can see in below screen shot, your sales order is on a manual hold.

If we try to create a purchase order by using Back to back functionality from right panel, then system won’t allow to create a purchase order because the order is on manual hold.

While creating a back to back order you will get the error “Order SONAO0110062 has manual hold” error. Refer the below log error.

To allow a purchase order generation, when Sales order is on manual hold follow the below steps.

Navigate To:Development> Data and parameters> Miscellaneous tables > Enter 204 table.

Set Back -to- back equal to “NO”. Refer the below screen shot

In this way, we can create a Purchase order by using back to back order functionality, when sales order is on manual hold.

How to create recurring supplier BP invoice

A recurring invoice is a type of invoicing with the help of this we can create and generate recurring invoices.Recurring invoices are popular in modern businesses for the ability to automatically charge supplier for an agreed amount for goods and services. These invoices are normally submitted, or the normally charges applied, on a monthly basis.Standard Sage X3 provides a feature i.e “Recurring Supplier invoices” with the help of this feature you can create a Recurring supplier invoices ,using the Recurring invoice creation screen.

Benifits:

  • Recurring invoicing provides the great benefit of convenience.
  • You can make the invoices for the Daily, Monthly, and Weekly frequency.
  • You can create the Recurring supplier invoices with the help of Batch task management.

Steps:

1.Navigate to ->AP/AR Accounting >>Invoicing >> Supplier BP invoice

2.Enter the data in Company,Supplier,Control fields and click on the Create button, as shown in below figure.

After the creation of supplier BP invoice you can post it with the help of Post button which is available on the Supplier BP Invoice screen.

After the Supplier BP Invoice you have to create Recurring supplier invoice using the Supplier BP Invoice screen.

3. Navigate To >> AP/AR Accounting >> Invoicing >> Recurring Supplier Invoices

4. Navigate To >> AP/AR Accounting >> Invoicing >> Recurring Invoice Creation

Check the flag of a Recurring Invoice type as a Supplier BP Invoice.

Fill the all mandatory fields.

Enter the Recurring No. Range in field.

If you need the simulation of Recurring process,then you can check the Simulation flag.

Click on the OK button, as shown in below figure.

On this way you can create the Recurring Supplier Invoices.

How to solve ‘Payment transaction is not of receipt type’ error message in Sage X3

A Payments is like an accountant. It keeps track of who owe whom and how much. Basically it is a transfer of money or assets to another person or business.

You may come across a situation where you would like to do payments for the sales invoices. Sometimes while doing payments for sales invoices we may find any difficulty or error like ‘payment transaction is not of receipt type’. Sage X3 has a functionality of solving this error message. Refer below screen shot:

Navigate to: Sales → Invoice → Invoices → Payments

Now for solving above error message which is occurring while doing the payment of the sales invoices. Follow below steps:

Step1:

  1. Check which payment method you are using while doing payment. Lets take the above screen shot for an example. As you can see that the payment method which is applied there is ‘CHQ’.
  2. Also Check Payment transaction which is set their in the Sales invoice Payments screen I.e ‘IRBNK’.

Check below screen shot, in that you can see clearly which ‘Payment Method’ and ‘Payment Transaction’ is getting applied.

Step2:

Navigate to: Setup → A/P-A/R accounting → Payment entry types

  1. Select the payment which is used in the sales invoice payment screen ie ‘IRBNK’.
  2. Check ‘SIGN’ field if it is unspecified, then change it to ‘Revenue’. We can also change it to ‘Expense’. But as here, we are creating payments for sales transactions , so we are using ‘Revenue’. If we want to create payments for purchase transactions with same payment entry type, just change the SIGN field to ‘expense’.

Unspecified: It means ‘Not stated properly or not described in detail’ means the amount should get debited or credited from the customer’s account.

Now change the sign field to ‘Revenue’. Because in accounting, revenue is the income that a business has, usually from the sales of goods to customers that is why we are changing the sign to ‘Revenue.

Now after doing all the above steps, just go to the : Sales → Invoice → Invoices

and check this is error is resolved or not.

  1. Create New sales invoice transaction.
  2. Post it.
  3. Click on the Payment button which is on the right panel.
  4. Set payment method as ‘CHQ’ , payment transaction as ‘IRBNK’
  5. Enter Bank
  6. Enter Amount
  7. Click on Ok

Then your payment will get generated for required sales invoice. Refer below screen shot:

In this way, we can handle such error messages while creating payment against sales invoices.

Sage X3 to X3 People Integration

As we all know, Sage X3 provides features to get/create data from third party applications using web services etc. Similarly, Sage X3 People also provides special feature to connect to the outside application. For example, if we need to create journal entries in Sage X3 from the payroll data of employees coming from X3 People then we can do it easily. Once you do MO validation based on population in Sage X3 people, journal entry will be created directly in X3 using link setup.

Follow below steps to achieve this:

  • Navigate to Setup >> Organizational Structure >> Folders
  • Select folder for which you want to set up link with outside application.
  • Go to the Link Tab, here you can see the grid section “Folder Links outside the solution”, please refer the below screen shot for more detail.

  • In the above screen you need to select the link type as “Accounting”, on Machine enter the IP address of Sage X3 server, on Service enter the port on Sage X3 is hosted for example in our case it is 1807, On Directory enter the Sage X3 folder root directory, Type of OS select the type of Sage X3 server installed on, on Link folder enter the Sage X3 folder name, On Database type select the database type enter SQL server, On Name of the Database enter Sage X3 database name, Following this enter the DBMS username and password and Sage X3 username and password.
  • After doing the configuration, you need to click on the grid and activate the link.
Link Activation
  • Once the link is active you will see the Active column in the above screen set as Yes.

Thus, once completed with above setting, on Payroll MO Validation information will be posted to Sage X3 GL (Journal entries) automatically from X3 People.

Automatic/Manual stock issue in Sales Invoice

User may come across a scenario where they want to setup automatic determination of stock during a direct sales invoice creation. It can differ from user to user. Some may want it automatically and some may want it manually.

This can be handled by doing a configuration in sales invoice entry transaction.

Follow the below steps to configure\use the above functionality.

Navigate to: Setup -> Sales -> Entry transactions -> Invoices

If the above checkbox is checked then user does not need to select stock manually while creating direct sales invoice. System automatically picks the quantity from the available stock.

If the product is managed by Receipt/Issue serial number, the serial numbers are necessary and sufficient. Other entered information is not used.

If the product is managed by lot or lot/sublot, the lot number or lot/sublot numbers are necessary.

But if this checkbox is unchecked then user will need to select the stock manually while creating direct sales invoice. See below figure when user tries to create sales invoice with “Automatic determination” checkbox as unchecked. User redirected to stock issue screen automatically.

This way user can manage their business process depending upon their requirement by doing a simple configuration.

How to solve web service error: ” Read ECONNRESET”

In Sage X3 , we may come across the error “read econnreset” while invoking subprogram based standard web service ‘AOWSIMPORT’ using third party.

Cause:

This is due to the value of the clbfile I_FILE is set to 0. Refer the below figure:

Follow the steps given below to solve this error:

Navigate To: All > Development > Script Dictionary > Webservice

  1. Choose AOWSIMPORT from the left menu
  2. Go to the Mapping tab and locate I_FILE
  3. Increase the length value to 8.(example: 8 = (512*(2^8)-2) =131,070 characters)

How to restrict the quantity to be allocated in an order line by default

In Sage X3 we can control how much of the ordered quantity should be allocated in sales order. The quantity entered in the ‘Qty to allocate’ field will be allocated to that particular order line.

The quantity entered can be greater than the ordered quantity in this case a warning message will signal this and allocation is carried out on saving of the order.

But there may be a business scenario in which you do not want to allocate whole order quantity by default, so in order to restrict the quantity to default order quantity you can use a parameter provided by X3.

Navigate To: Setup>General parameters>Parameter Values>

Under Chapter Sales >SAL> Parameter INIALLORD (Init qty to allocate to order)

This parameter used in the order and shipment request management functions is used to initialize the quantity to be allocated to an order line by the quantity ordered on creation of the line or by the quantity remaining to be allocated in line modification.

Below is the two options you can select.

  • No: The quantity to be allocated is never initialized by the quantity remaining to be allocated.
  • Yes: The quantity to be allocated is always initialized by the quantity remaining to be allocated.

The global variable GINIALLORD is associated with it.

You can also make the Quantity to be allocated field inaccessible to the user by making this field not enterable in order entry transaction and setting this parameter to Yes.

Enhancement feature in EMV12 for managing serial numbers in Product using “Global Received/Issued”

The new feature in V12 for managing serial numbers for product using the “Global received/issued” radio button under serial no.management section in Product screen increases better usability and increase performance and productivity.

Here are the steps to check the benefits using the new option added for serial number products.

STEP 1: Navigate to product screen to choose “Global Received/Issued” option under serial no.management

Navigate to: AllCommon dataProducts. In Management tab, under Serial No.management, There are options like Not managed, Issued, Received/Issued, Global Received/Issued. Select “Global Received/Issued”. Refer Fig 1.1

STEP 2: Create Miscellaneous receipt for the product which chosen as Global received/issued.

Navigate to: All  StockReceipts/Issue transactions Miscellaneous Receipt. Created a Miscellaneous receipt with 10 quantity for serialized product (SER_PROD_001 to SER_PROD_010).Refer the screen shot below, Fig 2.1

STEP 3: Enhancement option of serial number in ‘Detailed stock’

Navigate to: All -> Stock -> Inquiries -> Detailed Stock

Click on Action button, serial numbers is the enhancement feature visible, click to get the serial numbers, as shown in Fig 3.1

Table used:

Serial Numbers are linked to STOSER table that contain serial numbers that are pending where as STOJOU table contains range of serial numbers.

Few Points to consider:

1.Stocks is always managed in stock units

2.Negative stock is not allowed

Product usage in Sage X3

In this blog we will discuss about the product usage. Sage X3 has a Product usage functionality and this functionality is used to display a historical usage of a product in a rolling 36 months view. The amounts are the total Product movements by a site each month, including sales, miscellaneous issues and inter-site transfers.

To access the product usage, we can be found a product usage on a purchase order line in the ordered Quantity field.

Navigate to: Purchasing → orders → Orders

As we can see in the above screen, Product usage is available on the action button on the order quantity field. After click on the Product usage you will get the product history of last 36 months. Refer the below screen shot for the same.

The data displayed on the above Product usage charts come from a validated Sales order delivery or a Work order or Production tracking or a Stock Miscellaneous issue.

Also, Enterprise planning, Purchase planning and grouping workbench can launch Product usage from the action menu for any POS line.

To update fields of table in workflow

Sometimes we may come under a situation where we need to update fields in the same time when the workflow gets triggered.

To update field on running workflow firstly we need to select a workflow rule. I.e. at what action you need to update the field (For e.g. on Validation, rejection, notification, cancellation etc.)

The action we need to add for this is AWRKUPDFLD. This action has parameters where you can define the name of the table which is linked to the object, fields which needs to be updated and the value of the fields.

We can update only 4 fields with the help of AWRKUPDFLD. We can also define when this action is need to be triggered in ‘triggering’ field and also set a condition for its execution in ‘execution condition’ field.

Kindly refer the below fig to know how the parameters should be added.

From the above figure, we have mentioned the table abbreviation in ABREV field, mentioned the field name in FLD field and gave the value in VALEUR field.

In the same way we can update maximum 4 fields from the table at a time.

Hence, make sure the action checkbox is checked for this workflow rule. The fields get updated once this workflow get triggered.

How to enable Lot field in Customer return screen in Sage X3

Customer Returns are basically items that have been purchased from store or any online store but then returned by a customer.

In Sage X3, while creating Customer Return we may find difficulty in entering manually lot number in the screen. For solving this , X3 has a functionality to enable this field .

Navigate to: Sales → Return → Customer Returns

As we can see in the above screen, Lot field is disabled in customer return screen. There are two ways for enabling this field in Customer return screen. Just follow below steps:

Step1:

Navigate to: Common Data → Product → Product Categories → Receipt tab

  1. First select the product category in which your product is defined. Lt us take an example ‘BMSOL’.
  2. Then go to the Receipts tab.
  3. Select ‘Shipment return’ in movement type column and then set FREE in the Lot entry column.

Sometimes, user may find difficulty in setting the Lot entry field as ‘Free’ for this movement type. So there is another way to do this, for that follow step 2.

Step2:

Navigate to: Common Data → Product → Product Categories

  1. First select the product category in which your product is defined. Lt us take an example ‘BMSOL’.
  2. Then, go to management rule which is in the right panel. Select Default rules.
  3. One window (screen) will get open name as ‘Stock Management rules’.
  4. In this screen, select ‘Receipt’ tab.
  5. Then, select ‘Shipment return’ in movement type column and then set FREE in the Lot entry column.

Refer below screen shot:

After doing all these steps, now navigate to Customer Return screen and create new transaction and check lot field is enabled or not.

As we can see in the above screen shot, now system is allowing user to entry manually lot number of required product.

In this way, we can enter manually Lot number of product in the line level while creating Customer return.

How to set default journal entry type for journal created by import routine

In Sage X3 we can create Journal through import template also sage X3 provides a global parameter in which we can set default entry type using which journal should be created.

Navigate To: Setup>General parameters>Parameter Values>

Under Chapter Accounting >DEF> Parameter SCHIMPV5 (Entry transaction (import))

The entry transaction code to be assigned as the default entry transaction when a journal is imported is entered in this parameter.

How to solve obsolete product (end of life) error when product status is ACTIVE

Products or Goods which are sold or procured by organization. Both sales and purchase module using product effectively. We can create product by filling all information in product screen, importantly select the product status.

If Product Status is Obsolete, then product is no longer available in all modules including sales and purchase. Error Message received in sales and purchase transaction if you try to add the obsolete product is “Access to this product is unauthorized (obsolete)”

If Product is Active, it can be used in all modules, but while creating purchase order if you receive “obsolete product (end of life) ” error then follow the steps below.

STEP 1: Navigate to Purchase Order screen:

Navigate to: Purchasing > Orders > Orders. Refer Fig 1.1

STEP 2: Navigate to Product screen:

Navigate to: All > Common Data >Products > Product. From Left side, choose the Product example ‘BMS099’.Refer Fig 2.1

STEP 3:After changing ‘Service Life End’ to “12/17/20”, or Keep the ‘Service Life end’ field blank and save the product, then you can add the Product in Purchase order screen, Product gets added successfully without any error message.

How to solve the error “Calculation capacity exceeded”

In Sage X3, most of the times, we need to perform some operations on fields like amount, tax etc. or any other cusomized numeric field.

As we know, there are number of data types avaliable for decimals in X3 with different length and varying number of digits after decimals. For example, data type DCB supports length 9.2 allowing 2 digits after decimal while data type MD5 supports length 11.4 allowing 4 digits after decimal.

Generally, we choose the data type based on the values being used to perform numeric operations and their result. But sometimes, it may happen that resulting value extends the maximum value that standard supports for a particular data type.

Let us consider below example where multiplication is performed on two variables of data type DCB and the resulting value will be stored in table field YAMT having data type as DCB.

Multiplication

Here, the multiplication of X and Y is 2099020,10,495.1 and the program execution will cause below error.

Error

Since, YAMT field is of DCB type supporting length 9.2, the capacity got exceeded for value 2099020,10,495.1. In such scenarios we need to change the data type which supports greater length i.e. 13.2 or we can change the length values for existing data type to 13.2 to accommodate the operation result.

Thus, we can overcome “calculation capacity exceeded” error by simply increasing the length of data type.
