ADDING NEW LANGUAGE IN A FOLDER

We can add a new Language in X3 by using following steps. Let’s consider the new language as ‘Chinese Traditional language’.

STEP 1: Switch to X3 Folder. Navigate Development -> Data and parameters -> Local Menu-messages. Add a new Local Menu message in (Chapter 201) for Chinese Traditional language as shown in below screenshot and save the Local menu message.

STEP 2: Navigate Common data -> Common tables -> Languages. Find the Chinese Traditional language in the list of languages and open the drop-down list for Conversion field, we can see the previously added local menu i.e. (Chinese Traditional) can be seen. Select the Conversion as Chinese Traditional.

Also, set fields Standard and Connection Language as ‘Yes’, as shown in below screenshot:

STEP 3: Navigate Administration -> Administration -> Settings -> Locales. Add New Regional Preference and search for Chinese Traditional language.

Keep it ‘Enabled’ as shown in below screenshot:

Set Number decimal separator as ‘.(dot)’ and Number group separator as ‘,(comma)’.

STEP 4: Navigate Setup -> General Parameters -> Folders.

Select a folder from the Left list let’s consider ‘SEED’ Folder.Add the Chinese Traditional language in ‘Languages’ block in ‘Initialize’ tab and add Legislation for the language in ‘Legislation’ block as shown in below screenshots:

Save the changes and Perform Validation of the Folder.

Now, we can see the added Language as shown in below screenshot and it is available for further use.

Setup of Analytical Allocation and Assigning at transaction

In some of scenario we need to assign the distribution according to the multiple dimension. This can be achieved through the analytical allocation and mentioning the same at the transaction level.

Define the analytical allocation:

Navigate through: Common Data >>G/L Accounting table >>Analysis>> Analytic Allocation

Dimension types Block:

In this Grid user need to mention the dimension type according.

Dimensions:

According to the dimension mentioned in the dimension type grid we need to declare the distribution percentage according to the dimension. As it is percentage the distribution some should be 100 which is mandatory.

Transaction.

Once we have setup done we can assign the same in transaction like sales invoice , purchase invoice and journal. When distribution is assigned to sales invoice and purchase invoice it is automatically transferred to Journal to the respective account.

How to enable/disable ‘Last Read’ option at window level

We are aware that Sage X3 provides number of left lists to easily access the records on any transaction screen. One of the left list we can find in almost all transaction types is ‘Last read’. Using this left list, we can easily find out the recently accessed records. Also, we can manipulate the number of records to be displayed in Last read left list at parameter level. As we have already seen we can enable/disable Last Read records at parameter level through ‘Load last read’ parameter with ‘Yes/No’ option. But if Last Read option is disabled at window level for a particular transaction then we cannot enable/disable it using parameters.

For example, please refer below screenshot for Sales order window (OSOH).

Here, a separate block is provided to manage Last read list. If we uncheck the ‘Display’ checkbox and do all the necessary window and entry transaction validations then we cannot see Last read list on Sales order screen. Though ‘Load last read’ parameter is set to Yes, unless we make it enable at window level (OSOH), we cannot see Last read records on the transaction screen. Refer below screenshot of sales order screen.

Hence, if you cannot see Last read list on transaction screen after parameter setup, you should check setup at window level for the same.

Thus, we can only enable/disable Last read left list at parameter level if it is made to be displayed at window level for a particular transaction.

How to solve Unbalanced Payment Error while creating Payment through Import/Export Template

Introduction: After sales invoice generation,next process is payment creation,While creating payment through import/export template using PAY object and GESPAY Function,we come across error Unbalance payment error as shown in below image .The solution for solving this error is following below,

In Fig 2.1,There is a Sign field which plays important in solving this error.The value for the field is select by the below step

STEP : Navigate to Setup>A/P-A/R Accounting >payment entry types,choose appropriate payment type.

As in Fig 2.2 ,Check the Sign Field if it is Expense then assign value 1 to Sign field of the Template,If it is Revene then assign value  2 to sign field of the Template.

How to control Calculation basis of discount in Price structure

In Sage x3 we can control Discount calculation on what basis it should be calculated. In sales document we can enter Discount which will be calculated on 3 basis ‘By unit’, ‘by Line’, ‘by Document’

Navigate to Setup > Sales > Price list > Structures User can see the different values for Calculation basis (Refer below screenshot).

1.’By Unit’, which means that the amount is a unit amount applied to the sales unit entered.

Value entered in the discount field is multiplied by quantity entered

2.’By Line’, which means that the column amount is a fixed amount for the line.

Value entered in the discount field is fixed amount irrespective of quantity entered.

3.’by Document’, which means that it is a column that is added up in the invoice footer and for which price setting rules by line group exist. The principle of this calculation basis is linked to the use of grouped price lists

How to resolve Unit Type error in UOM while defining PACK UNIT in SageX3

The stocking UOM describes how you store quantities of an item in the warehouse. When you assign UOMs to an item on the Units of Measure tab, it indicates whether each UOM is valid for ordering, shipping, or stocking transactions. If more than one UOM is valid for stocking, specify which of these should be the default stocking UOM. If we have a different UOM for packing and shipping, then we have to define packing unit for the item.

For defining Unit of Measure,

Navigate to: Common Data -> Products -> Units of Measures tab

In Pack Unit section, we enter the packing unit of measure for the product. If the product is to be packed in KG’s, then we add it under the ‘Unit’ field.

When we proceed ahead, we may get an ‘Unit Type’ error

In order to resolve the same, we have to define the unit type for the UOM as packing. In order to do the same, please follow the below steps

Navigate to: Common Data  Products  Units of Measures tab

  1. Enter the UOM in pack unit and then press ‘Jump To’ icon
  2. Browse and select the appropriate UOM
  3. Under the Unit Type column, change the type to ‘Packing’
  4. Save the changes

As we can see in the above screen shot, now system is allowing us to enter the pack unit as KG. Similarly, you can follow the above procedure to resolve the unit type error message in Product master screen.

So we have seen how to enter the pack unit for a product and change the unit type for pack unit in Product master screen.

HOW TO CLOSE SALES ORDER THROUGH CODE

Sometime we may come under a situation where we have to close the sales order through code.

Keyword DIVSOHCLE is used to close the sales order record.

For example:

Below is a sales order which we have to close through our code.

Use the keyword as below:

Pass the sales order number as the parameter and run the code.

Check the sales order code once the code is process, you will find the sales order get closed completely and we won’t be able modify the record.

As DIVSOHCLE is used to close the sales order completely DIVSOQCLE is used to close the particular lines of sales order.

Hence, with the help of above keyword we can manage ho to close the sales order I.e completely or partly.

How to setup Account/Dimension restriction in sage X3

As we all know sage x3 uses dimensional accounting which helps to improve and simplify the reporting. There may be cases where a specific dimension is restricted for specific account although the dimension type is allowed on the GL account. To prevent such cases Restriction codes can be configured.

First we will check how to defined new account Restriction code in Sage X3.To define account restriction code follow below navigation: Go to Development >> Data and Parameters >> Miscellaneous tables >> Define a new Account Restriction and Code on Table 321

User can restrict the specific dimension from being used on specific account by doing setup on Account/Dimension Restriction screen. To navigate the screen follow below navigation:

Common Data >>G/L accounting tables >> Analytical >> Restriction Codes >> select the Account/Dimension Restriction from the Transaction selection list.

You can see in the below example the selected dimension type is “BRD”, GL account is “114000” and selected dimensions are “001”and “002”. So according to this setup the dimension 001 and 002 will not be allowed to be used for GL account 114000. However other dimensions belonging to the BRD Dimension Type will be allowed.

This is how using restriction code setup you can restrict the dimension from being used in GL account.

We come across the scenario, while creating payment, posted invoice will not be available for the selection, here are the few solutions below to solve.

Navigate to : A/P-A/R accounting > Open Items > Open Item Edit to check the status of the invoice.

Choose Pay Approval to “Authorize to Pay”.

If Authorize to pay option is not available then change the Payment Approval controls in the general parameters for the folder and user level.

• Navigate  to Setup > General Parameters > Parameter values
• Select Chapter = TC and select  Group = PAP
• In action, choose FLGPAZ (Payment Approval management) – This parameter is  set to YES  to activate and No to deactivate the payment approval management.

How to solve error “Incorrect version No (AMIGKEY/MIG_RELEASE)” Error while executing the Pre-Migration Script

In some industries the company wants to migrate the data from lower version to higher version in Sage X3. Every company wants to upgrade the system functionally or data on the higher version. For that we run some per-migration script. At that time, we will get Error: ‘Incorrect version No (AMIGKEY/MIG_RELEASE)’. With the help of some SQL queries and script we can solve this error.

For Pre-Migration utility follow the below step:

Navigate To: Usage >> Migration >> Sequencing monitor

  1. Enter plan and Select the folder for which folder you want to execute the Pre-Migration script. And click on create button as shown in below figure.

While executing the script you will get Error:’Incorrect version No (AMIGKEY/MIG_RELEASE)’ as shown in below figure.

Log Reading

In the X3-folder in the table AMIGKEY a row with the information about the X3 version is missing.

You have to add it first via Script Editor. Then you have to add a value with the missing info about the version

This information is required when executing the pre-scripts for migration. If this information is missing, the error message mentioned above is displayed when executing the script UUMGPREX3.

You have to add it first via Script Editor. Then you have to add a value with the missing info about the version.

Now you have to run these following queries in database:

select * from X3.ADOVAL where PARAM_0=’RELEASE’       …………….Query 1
select * from X3.AMIGKEY                                                        ……………. Query 2

  • Call Script Editor in the folder to be migrated new name e.g. “ZMIG”
  • Insert the script below – Run the compilation

Execute the following script with the corresponding folder name e.g. SEED.

Step 2 – Adding the version info in the Database

  • The field TORECNBR_0 in table AMIGKEY has no value or 0 as a value, However, the version value for PU9 is 60, PU11 is 80,PU12 is 90.115 etc.
  • The version number must be contained in the row that contains the value MIG_RELEASE in the column IDENT_0.
  • This info is displayed in the Management Console – folders – Release column

   Run the Update Query:

update X3.AMIGKEY set TOTRECNBR_0=’60’ where IDENT_0=’MIG_RELEASE’

 Now you can re-launched the script and error will be get resolved.

How to transfer file to FTP server

Sometimes, it might happen that we need to transfer a file to the FTP server. The below piece of code will transfer the file to FTP.

Parameters:

HSTSITE

It is the FTP server address on which the files will be transferred.

HSTUSR and HSTPWD

 It is the Username and Password of the defined FTP server.

HSTWCPPTH

 It s the path of the WinSCP software that we are using to connect to the FTP.

YC_PTHREQ

 It is the path of the file that needs to be transferred to the FTP.

PATH

 It is a temporary path at which a bat file will be created which will run eventually in order to transfer the file to FTP.

WRET(0)

 It is the command to open the FTP.

WRET(1)

 It will get the Path on FTP where the file will be transferred.

WRET(2)

 It will get the file that needs to be transferred from its original location i.e. YC_PTHREQ

Working:

Now, when you run this piece of code a bat file will be created at the path defined in the variable “PATH”.

This line of code will run the command to open the path on FTP defined in WRET(1) , get the file from its original location and then transfer it to the FTP and after that close the FTP in the bat file.

This line of code will delete the bat file once the file is transferred to the FTP successfully.

How to activate customer allocation

There is functionality in Sage X3 where we can hold stock reservations for each customer based on each site. This functionality is located in sales module.

Navigate: SALES -> ALLOCATION -> CUSTOMER ALLOCATION.

As shown in the above screenshot, there is also an ‘END DATE’ field which notifies that the customer allocation can be done if the shipping date is less than end date.

To activate customer allocation we need to set a parameter in sales module. The parameter is named as USERERBPC.

Navigate: SETUP -> GENERAL PARAMETER -> PARAMETER VALUES -> VEN SALES -> ORDER ALLOCATION RULES (SAL).

This parameter has 3 option i.e. NO, YES, ON REQUEST.

If this parameter is set to YES, standard uses the stock which is reserved for that particular customer automatically.

And if this parameter value is set ON REQUEST, standard gives a pop-up just after entering the quantity in sales order. In that pop-up standard ask whether the user wants to allocate the stock from customer reservation or not, as shown in the below screenshot. And if user selects ‘yes’ option then only it allows for customer allocation.

Hence, the above steps done are mandatory to use the functionality of customer reservation.

How to resolve ‘The quantity to be returned exceeds the maximum authorized’ error message while creating Purchase return in Sage X3

Purchase return is normally a part of business. In which, goods are returned to the supplier if they had any defects or not according to the specifications of the buyer.

In Sage X3, while creating Purchase Return we may come across an error like ‘The quantity to be returned exceeds the maximum authorized: 0 UN’. For solving this , X3 has a functionality to enable this field .

Navigate to: Purchasing → Returns → Purchase Returns

As we can see in the above screen, after entering the quantity this error message is coming and  system is not allowing to move further. Now, follow below steps to resolve this error:

Step1:

Navigate to: Common Data → Product →  Product Categories → Issue Flow tab

  1. First select the product category in  which your product is defined. Let us take an example ‘BMSOL’.
  2. Then go to the Issue Flow tab.
  3. Select ‘Receipt Return’ in movement type column and then set (Status ‘A’+’Q’+’R’ ) in the ‘Authorized status’ column.

After doing all these steps, now navigate to Purchase Return screen and create new transaction and check purchase return is getting created or not.

As we can see in the above screen shot, now system is allowing user to create purchase return without giving any error message.

In this way, we can create purchase return in Sage X3.

How to restrict dimension relationships within dimension type

As we all know sage x3 uses dimensional accounting which helps to improve and simplify the reporting. There may be a case where dimensions should not be used in combination with another dimension. Restriction codes can be configured to prevent such cases.

In this blog we will see how to restrict the dimension relationship being restrict within dimension type.

User can restrict the specific dimension from being used within dimension type by doing setup on Dimension/Dimension Restriction screen. To navigate the screen follow below navigation:

Common Data >>G/L accounting tables >> Analytical >> Restriction Codes >> select the Dimension/Dimension Restriction from the Transaction selection list.

You can see in the below example, we have selected First dimension type as “BRD” and second dimension type as “CCT”.

In below screenshot you can see for dimension type BRD we have selected the dimension as “001” and for dimension type CCT selected dimension is “Supl-001”. That means if Dimension type BRD has “001” dimension then Dimension Type CCT cannot have the value “Supl-001” dimension. However other dimensions belonging to the CCT Dimension Type will be allowed.

How to search where a particular field has been used

Sometimes, we need to move our customization from one system to another through the patch integration. 

Sometimes, we don’t remember at how many places we have used that field. But in Sage X3, we have built-in functionality by means of that we can find out where the particular field has been used.

Navigation to the screen is as following:-

All > Development > Utilities > Searches > Field

Enter the name of the field you want to search  as here we have entered ‘YAPPFLG’  and datatype of that field. Then select the check box in which you want to search, here we are searching in tables and screen. Click on ‘OK’ button. Refer the below Figure.

How to execute the Pre-Migration and Post-migration Script in Sage X3 for up-gradation

Now days Every company wants to upgrade the system or data with newly functionality on the higher version. In Some industries the company wants to migrate the data from lower version to higher version in Sage X3. For that needs to done some steps in Sage X3 i.e. Execution of Pre-migration and Post-migration script in the source and destination system.

Pre-requisite: Before folder validation you need to check if there any data present in APLLCK table, if there is any data present truncate that table.

Mandatory step:

You will have to login in X3 to execute this script and batch server should be running.

Follow the below steps for execution of Script:

Navigate To: Usage > Migration > Sequencing Monitor

  1. Click button on new.
  2. Enter plan name
  3. Select the folder
  4. Keep No. of parallel launches as it ‘1’
  5. Create plan

After creating the plan Launch the plan with the help of Launch/resume button, as shown in below figure,

After launching the plan, it will take some time to complete the whole process.

 Once the plan is successfully completed without errors you can copy the same folder in    Destination system and run the Post -migration script.

  • You have to follow the same steps for run Post-migration script which you have followed for pre-migration in the source system.
  • But only two changes you will have do while executing the Post-Migration script.
  • Checked the flag ‘Post-Migration auto start’
  • Unblocked the codes which are blocked with the help of unblock all option, as shown in below figure.

After doing these changes you can launch the plan. Once it is completed successfully you can

Login into the that folder and check screens.

These steps you have to followed while execution of Pre-migration and Post-migration script.

How to control payment sign (Expenditure or Revenue)

In sage X3, under Payment entry type we can define characteristics and the methods for different payment transactions. We can also control the sign of payment to be Revenue, expense or we can keep it as unspecified and differentiate that value based on our payment entry.

How to delete Purchase Invoice in SageX3

Introduction:

A Purchase Invoice is a bill which we receive from Suppliers against which we need to make the payment.

In Sage X3, we may find difficulty on deleting Purchase Invoice which are already posted and not posted. There is a functionality in Sage X3 with which we can delete purchase invoice.

Navigate to: Purchasing → Invoices -> Invoices

As we can see in the above screen delete button is disable after creating new transaction. Now to enable this button, follow below steps to resolve this:

Steps:

  1. Navigate to: Setup -> General Parameters -> Parameter Values
  2. Select TC Common Data ->  select INV (invoicing rule)
  3. Change the values of below highlighted  parameters to ‘YES’ .

After doing all these steps, now navigate to Purchase Invoice screen and then click on the accounting cancellation button which is on the right panel of the screen, refer below screen shot:

After clicking on the Accounting cancellation button, one window will get open which is for confirmation just click OK button.

After doing all we can see in the below screen shot ‘Delete’ button is enabled now and we can delete the purchase invoice without any issue.

In this way, we can delete purchase invoice in Sage X3.

Note: Also make sure that accounting task and batch server are in a running status.
