Financial Data Extraction in Sage X3

Rounding off Net Unit Price in Sales Order

In a Sales order, while dealing with pricing we may want to round off net price to the nearest decimal. Sage X3 provides a parameter where we can set whether we want to round off the price or not. SALRND parameter is helpful when the pricing value is in decimals.

This parameter stipulates whether a rounding off should be applied to net unit price.

The list of possible values is: No/ Yes.

  • If No: Net unit price will be rounded to four decimals.
  • If Yes : Net unit price will be rounded based on the transaction currency

Kindly follow the below steps to change the parameter value:

  • Navigate to Setup>General parameters>Parameter values under ‘VEN’ chapter right click on it and select ‘Detail’

How to handle the errors in Sage X3 with custom message?

Here, we are going to look for the standard Sage X3 error handling process. It helps to trace error and passes error message to the end-user. Also it will helps to avoid interruption. In other word, it states the error and allow us to continue with the error messages.

In Sage X3 when a number is divided by zero value it leads to an error ‘Divide by Zero’. After the error, user cannot continue further. Sage X3 has the feature to handle those errors with the help of “onerrgo”.  It is used to trace the error and handle it as well.

The above code is to trace the error.  If no error exists, the catch block will not be called, so user can get the proper output.

If error exists, it will call the catch block and show the custom message ‘Divide by Zero error’. So user can give proper input.

Note: Finally, “block” will be called in both the cases, Hence we can release or reset the variable.

How to disallow user to unblock an order?

Sage X3 has a parameter which can be used to disallow a particular user with the rights to unlock an order which has been put on hold manually or whose credit status is blocked.

To disable a particular user to unblock sales order, please follow the following steps:

Step 1: Go to Setup à General Parametersà Parameter values

Step 2: Go to Sales node and then Folder sub node and your respected folder. And go to Authorizations option as shown below.

Step 3: Right click on Authorization option and then go to Detail menu. You will find one parameter window. Then change the “Authorization to unlock order (SCDTUNL)” value to “No” as shown below,

After the above activity, press ok and save the data. Close the X3 and again open to check the effective changes.

Step 4: Now, go to the sales order and you will find the unblock button to be disabled as shown below.

How to Check Whether the Given Directory/ Path Exists or Not

In Sage X3, we may come across a situation where we need to know whether the path or a particular directory exists or not.

We can know this using following function:

Syntax: filinfo(path_fil, arg_ent)

Parameters:

path_fil: Char type expression for the file path to be tested

Arg_ent: Integer expression specifying the property to be found. It can be from 0 to 10.

Kindly refer to the below snippet of code for better understanding.

Here, we have used “7” as arg_ent (parameter) of filinfo function which gives size of file in octets.

If the file size found is negative, the file does not exist.

You may come across a scenario where you want to set the allocation and issue rules on product categories. Sage X3 has standard feature where you can set the allocation rule.

Create the allocation and issue rules on below path.

Navigate: Setup>Stock>Allocation and issue rules

Setup>Stock>Allocation and issue rules

Assign the above created allocation rule on product category. Now Refer the below screen shot.

Navigate: Common data >products>Product categories

Common data >products>Product categories

In “Issue flow” tab assign the allocation rule in shipment field.

While doing the allocation and shipment assigned rule will be applied.

We can assign the rules for the below transactions also

  1. Material consumption.
  2. Internal movement
  3. Sub-contract dispatch
  4. Sub-con consumption.

How to automatically allocate the work order

Sage X3 has a feature where we can automatically allocate automated work order generated from sales order at the time of creation.

To successfully implement this functionality follow below steps:

Navigate to: Setup>Manufacturing>Entry transactions>Work orders>AUT (Automatic generation)

  • Select AUT Automatic transaction.
  • Select Automatic global () or Automatic
  • Click on save
  • Click on Validation button

Making Bank Payments using the ACH NACHA Bank files from Sage X3

Every company has to make a series of payments to its Suppliers / Vendors. Nowadays, payments made using ACH are preferred by maximum companies because it not only saves time and money but is also easier and quicker to make payments/get paid with increased security while preventing the possibility of frauds.

Many of the Sage X3 users like to ease the Vendor payment process by exporting the payment information in the bank required format ACH NACHA from the system and sending the generated file to be used by the bank to import and execute the required payments. Both one time and recurring payment can be made using this method.

Making Bank Payments using the ACH NACHA Bank files from Sage X3

What is ACH?

ACH stands for Automated Clearing House, a network used for electronic financial transactions. The rules and guidelines governing the formats, specifications and exchange of ACH entries are published by NACHA, the Electronic Payments Association.

Advantages of using ACH payments:

  • Reduces payment processing time.
  • Eco-friendly, as checks don’t have to be printed.
  • Greater security.
  • Manual transport of cheques from company to bank can be avoided.

Why is ACH customization required in Sage X3?

Payment file required by banks has to be in the NACHA ACH format. This cannot be currently exported in the desired format from Sage X3 using the standard X3 bank file export functionality due to the following limitations…

  • Batch control records and File control records require some calculations which have to be customized for the company.
  • Sum of all the Entry Hash fields in the ACH file has to be calculated using customization and truncated if the total contains more digits than the field size allows.
  • In case of recurring exports of bank files, a specified file naming convention has to be followed. (I.e. The first file of the day will have ‘1’, second file will have ‘2’ and so on in the last position of file name.)
  • The Blocking factor record required in the bank file, to make total number of lines in the exported ACH file as a multiple of 10, needs to be inserted using customization.
  • Customization can be done to export the AP payments for a given invoice date range and/or given invoice number and supplier as well.
  • Customization is required to ensure that the same record is not exported multiple times in case of recurring bank file exports.

How can the ACH – Sage X3 customization help the end user?

Cash Flow Forecast Management helps to judge if the business has sufficient cash to avoid any crisis of liquidity.

1. It allows the creation of Cash forecast which is generated from the Sage X3 documents and also provides the option to modify the Cash Forecast manually.
2. Provides the option to Create, consult and modify the manual cash forecasts, i.e. the forecasts that are introduced in Sage X3 cash forecast but are not represented by means of any standard document in Sage X3.

Cash Flow Management

Let’s elaborate the Sage X3 Cash Forecast generation process, this process creates Forecast from any Sage X3 document,

There are various document which are considered while Forecast Generation is done:

  • Purchase requests, Purchase orders, Purchase contracts, Receipt notes
  • Quotes, Sales orders, Sales contracts, Delivery notes
  • CRM contracts, Leasing

For e.g. If you consider a sales order, which do not have any direct involvement of a treasury movement, but based on the estimation , of delivered and invoiced, it will generate a treasury movement. This process makes the estimation of the future treasury movements.

The Forecast process is launched based on company, until a determined date and selecting the documents to be considered. When the process is executed it calculates each of the selected documents to generate and create the corresponding cash forecast. The real open items are always treated and they also generate cash forecast.

At the end of the process, a log file is generated for treated documents and summary with the total generated Cash forecast by each type.

How to add additional filter criteria to automatic shipment creation function

Standard function FUNAUTDLV (Order deliveries) is used for bulk shipment creation. There are several filter criteria’s available on this function. But, what if you want to add any additional filter criteria for the orders being passed for shipment creation?

Using an Entry transaction we can easily add the additional criteria, follow the below steps for the same.

Step 1: Add entry point to the standard processing file FUNAUTDLV. I have created YFUNAUTDLV. Refer to below screen shot.

Step 2: AUTDLVFIL: is the action where we can add selection criteria for the shipments to be confirmed.

Step 3: The FILSUPENT variable has been created to add additional criteria. It has a length of 250 characters. To aid the functioning during the evaluation, FILSUPENT is initialized to the string “1=1″ if it has not been loaded by the entry point. Refer to below snippet of code.

How to allow text from a purchase request line to transfer into supplier order line.

In Sage X3 users are allowed to add the line text while creating the purchase request, this text can be a short message related to the product or supplier .If user wants the same text in the purchase order created against that request, Sage X3 allows handling the flow of text from purchase request to order.

Kindly follow the below steps to achieve the same.

Step 1: Navigate to Setup >General Parameters>Parameter values

Step 2: Go to Purchase chapter and then Folder sub node and select your respected folder. Then go to Texts group and click on detail as shown below.

Step 3: Below screen will popup. Chose the option ‘On order line’ against the PURTEXPSH parameter.

The PURTEXPSH parameter defines if the text for a purchase request line will be transferred to the supplier order line. This will only be possible if there is no order grouping (Purchasing suggestions or purchasing requests) on a same order line (a purchase request line per supplier order line).

The list of possible values can be No or On the order line.

  • If it’s No: No transfer of purchase request line texts to order lines.
  • If it’s On the order line: Transfer of purchase order line texts to the order lines.

For development in X3 version 7, while creating new X3 project in eclipse, we have to define following parameters:

  1. Hostname
  2. Port
  3. Folder

Sage X3 has function where you can set the aggregate criteria of journal.

Navigate to: Setup>Stock>Accounting Interface parameters

Setup>Stock>Accounting Interface parameters

If all the criteria are equal, one journal entry is created with as many lines as necessary. These lines can be aggregated by account, nature, tax code, entry title by using the automatic journal.

For example: If you want to create only one journal entry for multiple stocks. For that you have to keep the aggregate criteria blank.

These differentiation criteria can vary. For instance:

By date: format$(“D:4Y2M2D”,[STJ]IPTDAT)

By month: format$(“D:4Y2M”,[STJ]IPTDAT)

By customer: [STJ]BPRNUM

By product: [STJ]ITMREF

By warehouse site: [STJ]STOFCY

Set-ups and Process flow for Multi-level MRP in Sage X3 V7

  • Pre requisites for Multi-Level MRP Processing are same as the planning or normal MRP (Refer blog on Set Ups and Flow on MRP Process), except you needs to Define Multi Level BOM and Routing.

  • Now the Multi-Level Planning can be achieved either by going directly to Manufacturing→Planning→Multi Level Planning

OR

  • It can also be done by going through Individual Lines of Sales Order from the following path – Sales→Orders→Order
  • Right click on Line level icon as shown below and click on Multi Level Planning in order to process MRP, SO – Line wise.

  • Immediately after clicking on Multi-Level Planning, you will be directed to Multi-Level Planning screen.
  • Please note that if you are going directly through Multi-Level screen, you have to fill in all the details manually as shown below. And if you are performing this activity through SO, system will auto fill all the details based on setting and your Multi-Level BOM and Routing.

  • Finally click on ok, system will prompt below message if automatic scheduling has been said to YES, say Ok and continue.

  • Now you can see system has given an output on the basis SO – Product, Quantity, Delivery date, BOM of the product, availability of components under this BOM.

As we all know that Sage X3 can have more than one folder/application. So the question is how we will get to know current folder/application name while accessing Sage X3 ERP. Here X3 provide special “nomap” variable, which complete your requirement.

nomap is a variable that is only accessible in read mode and which determines name of current folder/application and reference applications.  Index 0 corresponds to the current application; index 1, to the first reference application; 2 to the second, etc.

Example:

# Opening of a file of the second reference application

Local File =adxmac(2)+”@”+nomap(2)+”.”+[L]FICHIER [FIC2]

The assignment of the [S]adxmother variable changes the values of [S]nomap (except for [S]nomap(0)). adxmother(I) is equivalent to nomap(I+1).

adxmac returns the name of the server where an application is found.
