Using the Grouping of companies function for reporting

Many a time we have a situation, wherein reports would have to be generated for a group of companies, or a group of sites from different companies or different companies and a combination of sites from different companies. It will be a complex grid which can be summarized in the example as below:

We have company ‘A’, whose headquarters are in the USA. It is configured to have three different sites, A1, A2, and A3 for purchase, manufacturing and sales respectively. It has branches in China (B), India(C), Australia (D), New Zealand (E), the UK (F) and France (G). The same configuration – one site each for purchase, manufacturing and sales respectively. So, we have B1, B2 and B3 for China, C1, C2 and C3 for India, D1, D2, D3 for Australia, e1, E2 and E3 for New Zealand, F1,F2, F3 for the UK and finally G1, G2 and G3 for France.

As can be seen above, these facilities are in different continents of the world, and each has its own site for manufacturing, purchase and sales. The management would like to have reports which would consolidate all the purchases for all the sites, the sales for all the sites, manufacturing for all the sites, company information as per the continents and for the entire group as a whole. A pictorial representation for the requirements can be summarized as below:

Sage X3 has an in-built feature of grouping of companies. Using this feature, we can create reporting companies which will constitute of either the individual sites or the companies or a combination of both. The ledger used for this sites will be the analytical ledger.

Whenever specific reports are to be generated for the above combination, we can select the above reporting companies in the report generation screen. Since the sites and the companies are linked together in the setup, the correct data will reflect in the report.

How to Create a Style to Give Effects to Grid Title

Sage X3 provides a feature by which you can give effects to grid titles. You can choose the existing style to give stylish look to the grid titles.

But, except these existing styles, you can create your own style. To implement this functionality, follow the below steps:

New Stuff: Simplify processing of your online orders

Step 1. Navigate to Development > Processing Dictionary > Screens > Screens > Fields tab

-> Here, select a title to which you want to apply the style.

-> Right click on that particular title and select ‘Evaluated title’

Refer the below screenshot.

Step 2. After that, ‘Evaluated title entry’ window will pop up. Click on ‘Style’ to create a new style.

Step 3. Now, ‘Presentation Styles’ named window will pop up where you can create your own style as follows:

-> Enter Style code, description and short title.

-> Right click on the last ‘Description’ field and select ‘Style editor’ option.

Step 4: Style editor will pop up.

-> You can click on ‘Modify’ button to select font, font styles, size, color and effects.

-> Select text background/base color.

-> Then, click on ‘OK’ button.

Assign: This function assigns value to the variable for which you do not know the name beforehand.

Syntax: Assign name_exp With value_exp

Parameter details:

name_exp: Expression of the Char type which results in the name of a variable. But the variable must be exist at runtime.

value_exp: Any expression that will be compatible for that variable at runtime.

There is also a solutions function where resolved solutions for a particular service request can be maintained. Go to Common data > BP tables > Early discount/late charge

New Stuff: How to set the Price by default Standard cost?
Do the setup as per the requirement by entering early discount/ late charges in days and its rate in percentage.

1. – (minus) indicates discount while rest are charges.
2.  0 to – 4 days, system will consider no discount
3. – 5 to – 09 days, system will consider – 1% discount
4. – 10 and above days, system will consider – 10% discount
5. Whereas 0 to 9 days, system will not consider any discount or charges, because it is set to 0
6. 10 to 29, days system will consider 5% late charges
7. 30 to 59 days, system will consider 8 % late charges
8. And 60 and above, system will consider 10 % late charges.

Now go to Setup –) A/P-A/R accounting –) Payment attributes
Make sure that it has to be Account< -> BP and marked as early discount

Now to make the created Payment attribute as a
Go to Setup –) General parameters –) Parameter values —) AP/AR Accounting —) Early Disc (TDC)
Right click and go to detail, and enter the default Payment attributes against the line no 4 and 6, which you have created above.

Also select due date for the calculation of Discounts / Charges. The possible values are – Open item due date and Invoice date.

Don’t forget to tag account against discount or late charges. To add the same go to
Setup –) Financials –) Accounting interface –) Accounting codes –) Payment
Enter the desired location under loss and profit.
Now go to payment terms and define the payment term.Please note that based on Payment term date and Due date basis (Open item or Invoice date) system will consider Due date.
Now to check, if this is working as per setup, go to A/P-A/R accounting –) Invoicing –) Supplier BP Invoice

o11Create a new Invoice and select Early Discount / Late charge, which you have created above.
Here due date is Accounting date is 10/16/15 and due date is 11/30/15 – Refer Above Image.

After posting Invoice go to A/P-A/R accounting –) Payments –) Payment / receipt entry
Create a Payment entry against the created Invoice. Please make sure that you are creating payment either Back dated or on future date to avail the early discount / late charges.
As soon as you will select Invoice no, system will auto calculate Discount/Charges- refer Below Image.

o12As you can see system has granted 2% early discount.

How to set the structure of import template to import Data and CSV file?

How to Know Start date of Week of any Year?

In Sage ERP X3, you may come across the situation where you need to know start date of any week for any particular year. Sage X3 provides function to get the same.

New Stuff:Use the solutions feature to build a Knowledge Base

Function Name:  aweek (week_exp, year_exp)

Week_exp   – Expression of the Integer type that gives the number of the week.

Year_exp – Expression of the Integer type that gives the number of the year.

Description:  The aweek function allows you to calculate the date of the first day (Monday) of a given week for a given year. The weeks are numbered from zero to 53. The first week of the year is the one that includes the first Thursday of the year. If the first day of the year is a Friday, Saturday, or Sunday, there is therefore a week zero (0), which goes from January 1st to the first Sunday of January, inclusive.

The list of possible values is: No, Yes, On demand.

No: No grouped price list search will be conducted.

Yes : A grouped price list search will be automatically conducted by taking all the order lines into account.

On demand : A question is asked to the user on order creation or modification: Processing of the grouped price lists yes/no ?

When this parameter is set to the value On demand, the grouped price lists will only be applied on purchase order entry, if the decision is made to apply them, or on purchase order generation from the buyer’s planning, if the option Grouped price lists is set to Yes in this function

You may come across a scenario where you would like to make use of Technical sheet i.e. Needs to performed number of tests and capture the same in ERP. By following below mentioned steps one can achieve the same.

New Stuff: How to Know Start date of Week of any Year
Go to – Common Data –) Product Tables –) Quality Sheet –) Technical Sheets.
Create new Technical sheet.

Fill in the details required, and select Questions based on the particular Sheet.

To create Questions go to Common Data –) Product Tables –) Quality Sheet –) Questions.

Here one can add number of questions and can attach responses against those questions.
Response type can be one of the following types –
• Alphanumeric
• Numeric
• Date
• Boolean
• Text
One can also define the control type against the Responses Type, which are as it is
• Value List – If it is selected, one also needs to define Response Table, wherein you needs to mention its code, type. Refer Below Image
To create Questions go to Common Data –) Product Tables –) Quality Sheet –) Responses.

• Ranges – If it is selected then one have to define start and end range and nominal value for this. Apart from this one can also define Formula.
• No Control.
By default responses, can also be defined, and one can even define the grouping of questions for reporting purpose.
Once technical sheets are defined, the same can be tagged either in Product Category –) Management –) Quality Record or Product –) Supplier –) Quality Record or Product site –) management –) Quality record based on the requirement.
Now whenever the defined product will undergo QC, one have to perform all the questions which are defined against the selected or tagged technical sheet.
Now let’s check how to use technical sheet in QC.
Go to Inventory –) Quality –) Quality Control.
Create QC or Modify auto created QC, and right click on line level and go to Quality record
Enter actual results against questions as below.

After entering the detail, one can check Quality history record, which will give you following details related to Technical Sheet (Its questions and responses).

Sage X3 V7 have added a new feature of pre loading the patch which is kept on your local client machine.
In order to preload the patch kept on your local client machine, click on the ‘Recall’ button from the right pane of ‘Patch Creation Window’.

We can use any of styles in our fields /grid to improve the look and feel.

Sage X3 provides a feature to calculate the component requirements displays or prints the quantities of components necessary for the completion of several parent products, as well as the missing quantities calculated from the available to promise stock, on a given level or all lower levels.

Navigate to Common Data-> BOMs -> Component Requirement Calculation.

User need to enter selection entry data i.e. Storage Site, BOM code, Reference date (used to only select the BOM links valid on this date), List of parent products & quantity of parent product starting from which the quantities of components will be calculated for each sub-level.

Result of these selection criteria can be seen on screen or in report format.  Result screen will display Parent product, Calculation quantity, Stock unit, Quantity Shortage, Available quantity, Level.

The calculation can be of three types:
• Calculation of first-level component requirements – the system lists all the first-level components of the BOMs of all the selected components. The same component will only appear once in the list. Requirements are totaled.
• Calculation of multi-level component requirements – components is linked to their respective levels. The BOM is not scanned through if the missing quantity is equal to zero for the parent product.
• Calculation of last-level component requirements – each component is linked to its lowest level. The same component will only appear once.
