Sage ERP X3 has a special function to get the sum of Mask column.

Sigma: This function is used to get sum of Mask column.

Syntax: sigma( [ variable = ] indice_start, indice_end, expression )

Parameter details:

       Variable: Name of the loop variable.

indice_start: Numerical expression stating the start of the range over which the variable may vary.

indice_end: Numerical expression stating the end of the range over which the variable may vary.

           Expression: Numerical or alphanumerical expression.

In our previous blogs, we have explained how can we trigger the “Manual” and “function entry” based event type workflow in Sage X3.  Now, in this blog we will see how the “Miscellaneous” Based event type workflow gets triggered.

This workflow is triggered for particular events identified by a finite list of event codes. These events can either be generic for all software written in Adonix technology (for instance, connection, disconnection…), or they can depend on a function specific to the software being used.

1. Create the workflow rule with Event type as “Miscellaneous”.

Importing Customers/Prospects of Sage ERP X3 into Salesforce

This is in continuation to our last Introduction to GUMU Salesforce – Sage ERP X3 Integration post. This is one of the key features of our GUMUTM Salesforce – Sage ERP X3 Integration solution which helps to import Sage ERP X3 Customer/Prospects into Salesforce.

Import Customers/Prospects functionality is one-time process where user can import Customer/Prospect from Sage Erp X3 into Salesforce CRM as Accounts. After importing customers/Prospects from Sage ERP X3 into Salesforce, the user can view real time customer details in Salesforce (i.e. Invoices, Sales orders, Quotes, Shipments and Sales Summary).

When user imports the Customers/Prospects, it imports customers/Prospects along with Contacts and Addresses of that particular customer.

For importing Customers/Prospects from Sage ERP X3 to Salesforce using GUMU integration, please follow the below steps:

1) Login to Salesforce.
2) Go to Administration Tab.
3) Click on the Import Data Tab to open the Import Data Page.
4) Select the “Integration” from the Lookup option provided in the import data page. (Refer above screenshot)
5) Then select Import Type from Dropdown List (i.e. Import Customers).
6) Select the criteria on the basis of which you want to import customers. Here we have provided two ways -
Customer Last Sync: Using this criteria, users can import the customers based on the Customer Updated date. Once you imported on certain date then Last Sync Date will be automatically populated at the time of next import process. You can change Last sync date as per your requirement.
From Customer To Customer: Using this criteria, user can import particular customer or bunch of customers by providing Customer number range.
7) Finally click on Import Button to start import process.

How to define centrally attachment path globally.

You may come across the situation, where you want to define central attachment path.

Sage X3 has special settings to set the central attachment path to keep the files centrally.

New Stuff: How to define default CRM call type in global level

To set the central attachment path, follow the steps:

Step 1: Go to, Setup >General Parameters> Parameter valuesscreen3

Step 2: Go To ADX (Adonix) node and then Folder sub node and your respected folder. And go to Interface User (INT) Option as shown below.

Step 3: Right click on Interface User option and then go to Detail menu. You will find one parameter window. Then change the “Attachment directory (DIRPCE)” value as shown below,

After the above activity, press ok and save the data. Close the X3 and again open to effect the changes.

How to set task status as completed by default in Customer relation?

As we all know tasks group all the commercial actions that cannot be considered either an appointment or a telephone call.

New Stuff: How to define centrally attachment path globally.

There may be scenario in which you have to create a task but don’t want to synchronize it; to achieve this you can update the flag DONDEFTSK.This parameter transforms the status of the tasks from “To be executed” to “Execute” if set as ‘YES’. This modification mainly leads to the disappearance of the task from the sales representative’s workbench.

Kindly follow the following steps:

Navigate to Setup>General parameters>Parameter values

under ‘CRM’ chapter right click on it and select ‘Detail’

Now set the value of the field DONDEFTSK to ‘YES’, refer to the below screen shot.

How to verify if there are duplicated values in a series

uni is used to verify if there are or not duplicate values in a series of numeric, alphanumeric or dates variables. uni returns the rank of the first value equal to a previous value from the list, that is to say :

- if the first and the second are identical, uni returns 2

- if the first and the third (or the second and the third) are identical, uni returns 3.

- if no value is duplicated, uni returns 0.

For a numeric “uni” is it acceptable to mix the label, decimal, integer, floating and double precision variables.

Syntax: uni( list_exprg )

The below syntax will return 3,

num$( uni(24, 15, 24, 1, 2, 3, 4, 5))

If one of the arguments for the function is a dimensioned variable without specifying an index or index interval, all the elements of the variable are used. The specifying of an index or index interval determines the elements to be taken into account.

If an index interval is given so that there is no element, for example uni(VALUES(1..0)), the result returned is 0.

Irrespective of the arguments, uni returns an integer. It should be noted that the uni function never returns 1.

We came across a scenario where client wants to add the invoicing elements charges on header level of different transaction. Sage X3 has standard feature to add the invoicing elements charges on header level of transaction. For this we have to do the price list configuration.

WIP Valuation

Have you ever come across in circumstances where you want to know the value of the work in progress product ?

Sage X3 provides special feature to know the value of the work in progress product

Work in progress valuation corresponds to the value of the products in production for which the raw material has been consumed, time has been entered, and stock receipts have been carried out.

To successfully bring this functionality follow below steps.
Navigate to: Costing > WIP > WIP Valuation

1) Enter the Company name and Site
2) Select the Type
3) Enter Work Order No Range

4) Click  on OK Button

System will take you to Report window.

After clicking on report button, WIP valuation report will be displayed which will exhibit the cost of WIP product .

Purge Null Lots

Sage X3 have a feature to deletes all the lots in the folder where the quantity is zero and where no movement has been carried out

New Stuff: WIP Valuation

This process can be carried out either directly, in simulation mode or in Batch mode.

To successfully bring this functionality follow below steps.

Navigate to: Setup > General Parameters > Parameter value

 

  1. Enter the value in MARPURLOT parameter.

Navigate to: Inventory > Periodic processing> Purge > Zero Lots

1) Select the date
2) Click on OK button

System will delete the lot by calculating mentioned formula “specified date minus the value in month of the MARPURLOT”, If this setup is not defined or its value is null It will not be possible to purge the null lots from less than 12 months

Adaptation of Sage ERP X3 for a Multi – Legislation Manufacturing Unit

Today, the world is becoming a global village. Businesses are trying to penetrate in different countries in search of newer markets and also for cheaper labor/ raw materials. So, most of the times, we have a scenario wherein the head office is located in maybe the USA and manufacturing facilities is based out of China.

This diversification comes with its own set of issues. Pain area in this scenario will be that of maintaining the book of accounts for all the countries where manufacturing units or branches are located. This is so because the accounting standards and the taxes applicable vary between different countries.

Simultaneously, the managers sitting at the head office would want a consolidated figure of all the expenses and revenues for the entire group.

However, since the facilities are in two different countries, we have

It is here that the inherent capability of Sage ERP X3 to maintain more than one ledger and have a one to many or many to one relationship comes to the fore.

In Sage ERP X3, you have the facility to maintain ten different ledgers. Of these, one is the main ledger, one is reserved for the analytical ledger and one for the IAS ledger. This means that in addition to the main ledger, you still have the flexibility to maintain 7 different ledgers. These ledgers can be then linked to the different Chart of Accounts based on their default classes.

So, for any company working in such a scenario, Sage ERP X3 will give us the flexibility to maintain three different ledgers as explained below:

Here we have three different ledgers, one for the legal reporting in USD which will be for the US based head-office, one in Chinese Yuan and one for analytical reporting, which will be in the base currency of the parent company – USD. Apart from the above setup, we also have to maintain the relationship of each account with the other account at the account level setup.

We can define one to many or many to one relationships as well if required by the group structure.

Functionally, with the above setup, whenever there is an entry posted in an account code of Chinese Chart of Accounts, a similar entry is also posted in the corresponding account code of the analytical Chart of Accounts. Similarly, whenever there is an entry posted in an account code of USA Chart of Accounts, a similar entry is also posted in the corresponding account code of the analytical Chart of Accounts. This means, for every entry posted by the user, there is one or more entry posted in the default account of the other CoA specified in the setup. The beauty of this posting is that this amount is posted in the currency specified on the ledger after converting the same using the latest conversion rate available in the currency rates table.

Remote Warehousing in Sage ERP X3

The concept of Remote warehousing emerged to handle all those companies which outsource their shipping and storage for their inventories to the third party logistic companies. When organization intends to use third party remote warehouse for distribution of its goods it has to ensure it utilizes electronic business document exchange system (EDI) that saves time, increase efficiency, reduces inventory storage/ transportation cost, eliminates manual errors and delays.

Third Party logistics company trades in 2 types of EDI documents and their significance are:

1. EDI 940 is sent to a Logistic Company to request that they ship on behalf of a client.

2. EDI 945 is returned to the client with details of the shipment including quantities shipped, Bill of Lading numbers, and packing information

Third party logistic company trades inventory to the end customer, however it needs to ship the EDI documents generated to its clients so that the clients can keep track of inventory at their end. Any failure in the timely issuance of the notification resulted into Late ASN and penalty charges.

So in order to avoid such mishaps due to manual processes there was a pressing need to integrate Remote warehousing software with Sage ERP X3. This integration would automate synchronization of the EDI documents. It  would communicate and convert the EDI Sales Orders generated from the Remote Warehouse and integrates it with the Companies Accounting system

New Stuff: Validate or invalidate a screen through code

Follow the below steps to add new text for Accounting code lines

Step #1: Navigate toDevelopment>Data and parameters>Tables>Local menus – messages. Enter local menu number (Chapter) 853 Texts of accounting code lines. Enter a new row as shown in below screen shot.

Step 2:New text added from Step #1 will be available for selection in accounting code lines modifier text (Refer to below screen shot).
