Weigh Bridge Integration in Sage X3

Weighbridges are typically used to identify the weight of industrial vehicles and simultaneously, the weight of their contents such as net weight, gross weight, Truck No etc.

The purpose of this weigh bridge integration is reading data from the weigh bridge software and flow the same data into the Sage X3 application. To achieve this, we have created integration to establish a communication between Weigh bridge and Sage X3 application. With the help of this integration weigh bridge data will be inserted into the Sage X3 database automatically.

For this purpose, we need to install integration service on Weigh Bridge & Sage X3 server. The integration will read the data in the interval of 15 minutes and will insert the same data in Sage X3 continuously.

Also, user can update the data in Sage X3 using Weigh Bridge screen.

Path: Purchasing -> Receipts -> Weigh Bridge

As shown in the above screenshot, user has to enter Weigh Bridge details like weight bridge ID and Ticket in filter criteria and click on search button then only the records which are saved in the Sage X3 will be displayed in this screen. IDs and Tickets are generated in the weigh bridge software and then those IDs and Tickets will be inserted in Sage X3 database with other details.

As you can see in the above screenshot, there are two more buttons available with “Search” button – “Save” and “Clear”. And the fields other than ID and Ticket are editable.
The fields will be editable so that the user with appropriate rights can edit and update the data wherever required and save it. A Weigh Bridge tab with a grid is provided on the different screens where the user can select single/multiple weigh Bridge ticket numbers and link to the transactions:

  1. Order Pre Receipt
  2. Purchase Receipt
  3. Purchase Return
  4. Sales Delivery
  5. Sales Return
  6. Inter Site Transfer

Refer the above screenshot in which, weigh bridge tab is available and on the basis of the ticket number selection, other weigh bridge details are getting flown in the Sales Delivery screen. Similarly, it will work in the other mentioned transactions too.

In this way, Weigh Bridge Integration works and on the basis of Weigh Bridge Ticket Number, weigh bridge data will be flown in the transactions.

Dynamic Row-Column structure report for Quote comparison

In Sage X3, one of the client’s requirements was to have a comparison report for Quotes made by the suppliers for the given RFQ products. This report needed to have a dynamic nature of rows-columns design for which we’ve implemented the use of cross-tab option in Crystal report.

New Stuff: Weigh Bridge Integration in Sage X3

We’ll be referencing the following screens from Sage X3 for this:

RFQ: All > Purchasing > RFQs > RFQ (GESPQH)
Responses: All > Purchasing > RFQs > Responses (GESPPD)

Refer the screenshots for reference:

Note: The RFQ screen has two tables, one referencing the Products and other the Suppliers. Each supplier can give quote(s) for the given products which we can track from Response screens.

Step 1: In the Crystal report we need to design the report with a table having RFQ Products as rows and RFQ Suppliers as columns. As the no. of suppliers and products changes on the RFQ screen the report will automatically adjust the row-columns size. For this we require the cross-tab design (Insert > Cross-tab) and a basic design will show as follows:

Step 2: We developed a SQL query which fetches Suppliers, products and other details from RFQ and Response screens as per client’s requirement. Our main rows comprises Products whereas the data corresponding to the product are Summarized rows next to it as shown below:

Step 3: Cross-tab report is a matrix style design so the more row-column data we add it’ll maintain a (nxn) design. So we suppress all the remaining duplicate data and delete the redundant columns-row pairs using the Cross-tab Expert menu to change the format to (nxm) design as below:

Step 4: Cross-tab table also provides a handful of Valuation options to implement such as row-wise grand totals, column-wise grand totals etc. So we also suppress such redundant totals using the Cross-tab Expert menu from the report as per our requirement.

Refer below a demo implementation of RFQ entry on report.

In the above RFQ entry, we’ve two suppliers giving 1 response for the product. So our report will be reflecting the different parameters based on the response data per supplier.

Here we can see the data in report format. If the products are added then the report will reflect that in rows and if more Suppliers are added then it’ll reflect in columns increment all automatically handled by Cross-Tab report.

Step 5: This way we have achieved a dynamic natured report requirement on Crystal report.

How to solve an error – “Automatic Journal does not allow validation”

As we all know, we need to post the Sales Invoice entry after creation in Sage X3. And after posting, Journal entry of that posted invoice is created automatically.

But sometimes, an error occurs after clicking on the post button on the Sales Invoice screen because of some improper configuration settings. The invoice gets created successfully but it throws an error while posting the same invoice that “Automatic Journal does not allow validation”.

As shown in the below screenshot, Sales Invoice – 100012206INVBC000017 is not getting posted because of the Automatic Journal error.

Now we will see, how to solve the Automatic Journal error which we are facing while posting the invoice.

STEP 1: Navigate to Sales -> Invoices -> Sales Invoice -> Jump to Invoice Type

STEP 2: In Invoice Type Master, Jump to Sales Automatic Journal as shown in the below screenshot.

STEP 3: After that, in Automatic Journal Master, in Legislations, IND checkbox should be checked. But as you can see in the below screenshot, it is not checked. Due to which we are facing that Automatic Journal error. Check “IND” checkbox and click on “Save” button.

STEP 4: Click on “Lines” button on Automatic Journals screen. After that in Automatic Journals Lines, IND checkbox should be checked in legislation (Refer below screenshot). And it should be checked for all the lines which are getting displayed in the left panel. Select each line from left panel and check the “IND” checkbox in Legislations and click on “Save” button for each and every line after selecting IND legislation to save the changes.

Now, check the same invoice – 100012206INVBC000017 on the Sales Invoice screen, and click on post button.

As you can see, the invoice is getting posted successfully after clicking on Post button. Hence by selecting the IND checkbox in Automatic Journals for all the lines, error will be resolved.

Restriction on credit note creation

Sage X3, is a complete business management solution designed to drive productivity and give you total control and visibility of your enterprise. With customizable configuration, the flexible solution equips you with everything you need to drive business success and easy to understand all the modules to the end user.
Recently we had a requirement from one of our client, if a sales invoice is created with some amount then user can create credit note against that invoice with same amount. User will not be allowed to exceed the invoice amount while creating Credit Note entry.

We will see the functionality in detail:

Navigate to: Sales -> Sales Invoice -> All full entry

In the sales module, the user will create a sales invoice entry. For example – he has created an invoice of 14,160(Including Tax Amount).

Then the user is trying to create Sales credit Note against the same invoice.

Navigate to: Sales -> Sales Invoice -> AAL full entry credit

Then the user will select the sales invoice number from the left panel of the screen for which he wants to create the credit note.. The sales invoice which the user created previously was of 14,160. And as you can see in the above screen shot, the credit note value is less than the invoice amount. So the system will allow user to create this credit note.

Now, if the user tries to modify the values in the same credit note with the value which exceeds the sales invoice amount, then the system will not allow the user to save that credit note against that sales invoice and the Pop up message will be displayed – “Including tax amount is greater than sales invoice amount” as shown in the above screen shot. Similarly, the functionality will work on creation of the Credit Note. Pop-up will be generated while creating credit note transaction against invoice if the amount exceeds the invoice amount and transaction will be restricted.

So, in this way, we have applied the restriction on Credit Note creation or modification on the basis of Sales Invoice Amount.

How to set dynamic Status field on screen based on date range

In Sage X3, one of the client’s requirement was to have a dynamic “Policy Status” field which will reflect the current status where the policy is Active or De-active for the selected module. Here another condition was that at a given time span only one policy per module can be kept Active, rest will stay deactivated and will get activated automatically once the date condition is satisfied.

First to navigate to the screens that’ll be used for the below steps:

Window management: All -> Development -> Script dictionary -> Window management
Script editor: All -> Development -> Script dictionary -> Scripts -> Script editor
Tables: All -> Development -> Data and parameters -> Tables

To fulfill the above mentioned requirement we need to follow the below steps:

Step 1: Below are the locations showing the “Status and Applicable module” fields on screen, on window management and on the linked table of the screen. Refer the screenshots for reference:

Step 2: For this customization we need to add some action events. The script code for the screen can be identified from Window management > Header screen > Specific script.

The logic for them will be as follows:
Once the user clicks the “New” button on screen to create a new policy and selects the Applicable Module our logic part will trigger that will check whether there is any existing Policy already for the given Module and if it does then whether it’s currently Active or Inactive.
In case the Policy exists and is Active, the Status field is made non-editable using the DISZO command followed by AFFZO command and set to DEACTIVE. Whereas if the Policy exists but is in Inactive status, then it’ll allow the user to select the status as per choice.

Step 3: Now when a new policy is created for a given date range, then another logic is added on the LIENS action event in script which gets triggered whenever the Entry no. is browsed from left list selection or opening the screen.

This logic checks if the current date is within the Policy date range first and then:
If the current date is within the date range then it’ll check if the status is Active or De-active.
For the Active case the logic will return from the event without any change.
For the De-active case the logic will check if there is any existing Active policy for the module, if not then it’ll change the status to ACTIVE on the screen and trigger an Update instruction on the table.

If the current date exceeds the To date of Policy:
For the Active case the logic will change the status to DEACTIVE and make the field non-editable using the DISZO command followed by AFFZO command, and update the table using the Update instruction.
For the De-active case logic will return from the event without any change.

This way we can dynamically set the status field on screen based on the policy date range.

Error: “MRK(501): Index Incorrect” in Sage X3

Sage X3 has a feature of BP net settlement, with the help of this feature we can settle open items like open invoices, unapplied prepayment, credit memos and debit memos against suppliers & customers.

One of our client tried to create BP net settlement against one vendor but an error occurred as shown in the below screenshot:

This error occurred because the screens BPOINET & BPOINET3 having a grid length of 501 as shown in the below screenshot and transactions against the vendor which is selected for for BP net settlement is exceeding that length.

To solve the above error, we have to follow below steps:

  1. Launch Development, Script Dictionary, Screen Dictionary, Screens
  2. Select BPOINET & BPOINET3 screens
  3. On the General tab where 501 is entered on the Details line in the Lines column, increase the value to a larger number to allow more records on the BP Net Settlement. (Maximum 32,267)
  4. Click Save.
  5. Click Validation.
  6. Kill session by doing logout from application.
  7. Log-in and check message does not occur again, error got fixed now.

Hence by following the above steps, we can solve the Error: “MRK(501): Index Incorrect” in Sage X3.

Validation of Supplier Invoice No and Date in GRN

We had a requirement from one of our client to freeze the Supplier Invoice No and Supplier Invoice Date fields in GRN but the condition was it should freeze only when the user create a Purchase Invoice against the same GRN. Once the Purchase Invoice is created the user cannot modify the data in the GRN screen for the Supplier Invoice and Supplier Invoice Date fields. Even the user cannot enter the same data which is been used for the previous entries Which means the system will not allow the duplication of data in the Supplier Invoice No and Supplier Invoice Date fields.

New stuff: Error “MRK(501): Index Incorrect” in Sage X3

We will see the functionality in detail:

Navigate to : Purchasing -> Receipt -> Receipts

While creating GRN users can enter data in both fields even they can modify the entered data before creating the Purchase Invoice against the Purchase Receipt.

The user will create a Purchase Invoice against the same GRN.

After that in the GRN entry, the Supplier Invoice No and Date fields will get freeze as per the condition – once the Invoice is created the system will freeze those fields and cannot be further modified.

When the user creates a new GRN with the same Supplier No and Date which is used for another entry number then the system will generate a pop-up as shown in the above screenshot.
As a result, the user cannot modify or enter duplicate data in the Supplier Invoice No and Date fields once the Invoice is created.

Dynamic Departure time change based on Arrival time selection

In Sage X3, one of the client’s requirement was to have a dynamic departure time field update based on Arrival time field data under Management tab of Sales invoice module. The field takes value in the form of HH:MM. Below is the
Customization done for achieving the same.

New Stuff: Validation of Supplier Invoice No and Date in GRN

First to navigate to the screens that’ll be used for the below steps:

Sales Invoice: All > Sales > Invoices > Invoices (GESSIH)
Window Management: All > Development > Script dictionary > Windows
Scripts: All > Development > Script dictionary > Scripts

Refer the screenshots for reference:

Step 1: Head over to Sales invoice > Management tab and locate the fields. The initial default values in these fields are set to current system time.

Step 2: For the customization we require a couple of Action events to be assigned to Invoice Preparation time (Arrival time) and Invoice Preparation date (Arrival date) fields. The purpose of these events is to trigger our customization on Departure time and Departure date fields upon changes made.

Step 3: The customization logic performs 3 parts which are as follows:
1) If a new Invoice is being created through New button press then the Arrival time field and Arrival date field will default to Current system time and date and the Departure time field will default to +20mins (as per requirement) from Arrival time field and Departure date field will default to Arrival date.

2) After defaulting if the user changes the Arrival time/date fields then the respective changes will reflect on Departure time/date fields.

3) If the Invoice creation takes time, then upon creation the Arrival time field will reflect the Creation time and Departure time field will reflect change as per Arrival time.

Step 4: The key part is the conversion from Date-time data to CLBFile format (HH:MM format) and vice-versa to get the required changes made to the Departure time field. For this GDATETIME$, DATE$, VAL(expression) and FORMAT$ Sage X3’s keywords for achieving this.

Restriction on Sales Order if Advance Payment is not done

Sage X3 has a special feature of prepayment in the sales order screen which can be created against sales order. Using this feature, user can create prepayment with the order amount against sales order and then user has to create advance payment for the same amount.

New stuff: Dynamic Departure time change based on Arrival time selection

One of our client came up with a requirement that if user has created prepayment in the Sales Order screen for any particular entry by clicking on Prepayment button and entering amount in the grid then system will restrict user to create further Sales transactions such as Sales Delivery, Pick Ticket or Invoice etc. until advance payment is not done against the same sales order.

Let’s see the functionality with an example. Here we have created a Sales Order and created prepayment against the same sales order as shown in the below screenshot by clicking on Prepayment button from the Sales Order.

Now as per our requirement, we have to make advance payment against that sales order. But if advance payment is not done and we are going to create further transaction for same order then system will not allow to do further Sales transactions.

Here we haven’t created any advance payment against this order and we will try to create sales delivery by clicking on delivery button from sales order screen as shown in below screenshot.

As we haven’t created any advance payment against that sales order, system is restricting to create delivery of that SO by giving a popup message as shown in the below screenshot.

After clicking on “Ok” button of the popup message system will terminate further steps and will not allow us to create us delivery against this order.

As explained above, we have added same restriction on the preparation of pick ticket, invoice or proforma creation from sales order screen if Advance Payment is not done.

Weigh Bridge Integration in Sage X3

Weighbridges are typically used to identify the weight of industrial vehicles and simultaneously, the weight of their contents such as net weight, gross weight, Truck No etc.

The purpose of this weigh bridge integration is reading data from the weigh bridge software and flow the same data into the Sage X3 application. To achieve this, we have created integration to establish a communication between Weigh bridge and Sage X3 application. With the help of this integration weigh bridge data will be inserted into the Sage X3 database automatically.

For this purpose, we need to install integration service on Weigh Bridge & Sage X3 server. The integration will read the data in the interval of 15 minutes and will insert the same data in Sage X3 continuously.

Also, user can update the data in Sage X3 using Weigh Bridge screen.

New Stuff: Restriction on Sales Order if Advance Payment is not done

As shown in the above screenshot, user has to enter Weigh Bridge details like weight bridge ID and Ticket in filter criteria and click on search button then only the records which are saved in the Sage X3 will be displayed in this screen. IDs and Tickets are generated in the weigh bridge software and then those IDs and Tickets will be inserted in Sage X3 database with other details.

As you can see in the above screenshot, there are two more buttons available with “Search” button – “Save” and “Clear”. And the fields other than ID and Ticket are editable.
The fields will be editable so that the user with appropriate rights can edit and update the data wherever required and save it. A Weigh Bridge tab with a grid is provided on the different screens where the user can select single/multiple weigh Bridge ticket numbers and link to the transactions:

  1. Order Pre Receipt
  2. Purchase Receipt
  3. Purchase Return
  4. Sales Delivery
  5. Sales Return
  6. Inter Site Transfer

Refer the above screenshot in which, weigh bridge tab is available and on the basis of the ticket number selection, other weigh bridge details are getting flown in the Sales Delivery screen. Similarly, it will work in the other mentioned transactions too.

In this way, Weigh Bridge Integration works and on the basis of Weigh Bridge Ticket Number, weigh bridge data will be flown in the transactions.

Dynamic Row-Column structure report for Quote comparison

In Sage X3, one of the client’s requirements was to have a comparison report for Quotes made by the suppliers for the given RFQ products. This report needed to have a dynamic nature of rows-columns design for which we’ve implemented the use of cross-tab option in Crystal report.

New Stuff: Weigh Bridge Integration in Sage X3

We’ll be referencing the following screens from Sage X3 for this:

RFQ: All > Purchasing > RFQs > RFQ (GESPQH)
Responses: All > Purchasing > RFQs > Responses (GESPPD)

Note: The RFQ screen has two tables, one referencing the Products and other the Suppliers. Each supplier can give quote(s) for the given products which we can track from Response screens.

Step 1: In the Crystal report we need to design the report with a table having RFQ Products as rows and RFQ Suppliers as columns. As the no. of suppliers and products changes on the RFQ screen the report will automatically adjust the row-columns size. For this we require the cross-tab design (Insert > Cross-tab) and a basic design will show as follows:

Step 2: We developed a SQL query which fetches Suppliers, products and other details from RFQ and Response screens as per client’s requirement. Our main rows comprises Products whereas the data corresponding to the product are Summarized rows next to it as shown below:

Step 3: Cross-tab report is a matrix style design so the more row-column data we add it’ll maintain a (nxn) design. So we suppress all the remaining duplicate data and delete the redundant columns-row pairs using the Cross-tab Expert menu to change the format to (nxm) design as below:

Step 4: Cross-tab table also provides a handful of Valuation options to implement such as row-wise grand totals, column-wise grand totals etc. So we also suppress such redundant totals using the Cross-tab Expert menu from the report as per our requirement.

In the above RFQ entry, we’ve two suppliers giving 1 response for the product. So our report will be reflecting the different parameters based on the response data per supplier.

Here we can see the data in report format. If the products are added then the report will reflect that in rows and if more Suppliers are added then it’ll reflect in columns increment all automatically handled by Cross-Tab report.

Step 5: This way we have achieved a dynamic natured report requirement on Crystal report.

How to solve an error – “Automatic Journal does not allow validation”

As we all know, we need to post the Sales Invoice entry after creation in Sage X3. And after posting, Journal entry of that posted invoice is created automatically.

But sometimes, an error occurs after clicking on the post button on the Sales Invoice screen because of some improper configuration settings. The invoice gets created successfully but it throws an error while posting the same invoice that “Automatic Journal does not allow validation”.

As shown in the below screenshot, Sales Invoice – 100012206INVBC000017 is not getting posted because of the Automatic Journal error.

Now we will see, how to solve the Automatic Journal error which we are facing while posting the invoice.

STEP 1: Navigate to Sales -> Invoices -> Sales Invoice -> Jump to Invoice Type

STEP 2: In Invoice Type Master, Jump to Sales Automatic Journal as shown in the below screenshot.

STEP 3: After that, in Automatic Journal Master, in Legislations, IND checkbox should be checked. But as you can see in the below screenshot, it is not checked. Due to which we are facing that Automatic Journal error. Check “IND” checkbox and click on “Save” button.

STEP 4: Click on “Lines” button on Automatic Journals screen. After that in Automatic Journals Lines, IND checkbox should be checked in legislation (Refer below screenshot). And it should be checked for all the lines which are getting displayed in the left panel. Select each line from left panel and check the “IND” checkbox in Legislations and click on “Save” button for each and every line after selecting IND legislation to save the changes.

Now, check the same invoice – 100012206INVBC000017 on the Sales Invoice screen, and click on post button.

As you can see, the invoice is getting posted successfully after clicking on Post button. Hence by selecting the IND checkbox in Automatic Journals for all the lines, error will be resolved.

Restriction on credit note creation

Recently we had a requirement from one of our client, if a sales invoice is created with some amount then user can create credit note against that invoice with same amount. User will not be allowed to exceed the invoice amount while creating Credit Note entry.

We will see the functionality in detail:

Navigate to: Sales -> Sales Invoice -> All full entry

In the sales module, the user will create a sales invoice entry. For example – he has created an invoice of 14,160(Including Tax Amount).

Then the user is trying to create Sales credit Note against the same invoice.

Navigate to: Sales -> Sales Invoice -> AAL full entry credit

Then the user will select the sales invoice number from the left panel of the screen for which he wants to create the credit note.. The sales invoice which the user created previously was of 14,160. And as you can see in the above screen shot, the credit note value is less than the invoice amount. So the system will allow user to create this credit note.

Now, if the user tries to modify the values in the same credit note with the value which exceeds the sales invoice amount, then the system will not allow the user to save that credit note against that sales invoice and the Pop up message will be displayed – “Including tax amount is greater than sales invoice amount” as shown in the above screen shot. Similarly, the functionality will work on creation of the Credit Note. Pop-up will be generated while creating credit note transaction against invoice if the amount exceeds the invoice amount and transaction will be restricted.

So, in this way, we have applied the restriction on Credit Note creation or modification on the basis of Sales Invoice Amount.

Sage X3 Integration with Weighing Scales

Is it possible to integrate weighing scales to ERP? Yes. In Sage X3, we have established integration with weighing scales to fulfil the client’s requirement in which we have fetched a weight from weighing scale machine which is connected to the user’s end and loaded the received data in Sage X3. To achieve this requirement, we have created a new custom screen at user’s end where weighing machine is connected. This screen is working according to that specific setup of the machine. So user won’t have to change his/her system to adjust with the customization.

Weighing scale integration with Sage X3 can provide a wide range of benefits for your business. These include reducing mistakes that can happen by a manual operator who needs to write down measurements, automatically picking an accurate weight from the scale. It has the ability to increase efficiency, saving time and money, and more.

One of our client wanted to add a customization in such a way that, whenever user measures the weight of the goods using weighing scale machine then that weight must appear in the Gross Weight field of Production Tracking screen.

Now, we will see how the functionality is working in Sage X3:

Step 1: User will create Sales Order first. Work Order will be generated against that Sales Order. Then Production Tracking will be generated against the work order. In Tracking, we have already added Gross Weight, Tare Weight, Net Weight and Remark columns in Stock Transaction Modification Screen.

Path: Manufacturing -> Production Tracking -> Manufacturing Tab -> Click on Action Button -> Stock Txn Modification (Refer below screenshot)

After clicking on Stock Txn Modification, pop-up window will be opened in which ‘0’ value will be displayed for Gross Weight, Tare Weight and Net Weight columns initially. Remark column will remain blank.

Step 2: After that, user will open a custom screen i.e. Weighing Scale screen at his end where weighing machine is connected. To update the weight for that particular Product, user will select Production Tracking number from the finder and all the details related to tracking, product will be flown in the Weighing Scale screen, as shown in the below screenshot.

Tare weight will be calculated with the values of the Product Master screen. In Sales Order screen, Core, Box and Pallet products will be selected and sum of the STK Weight of those 3 products will be considered as Tare Weight.

Tare Weight = STK Weight of Core + STK Weight of Box + STK Weight of Pallet

Step 3: User will click on “Load Weight” button in Weighing Scale screen.

After clicking on Load Weight button, Gross Weight will be auto updated in the screen against the LOT and serial no. And user will enter data manually in Remark field.

Net Weight will be calculated as [Gross Weight – Tare Weight].

Step 4: After filling data, user will click on “Save in Sage X3” button, and one pop-up will be displayed to acknowledge a successful insert.

After clicking on “Save in Sage X3” button, the data will be updated in the production tracking screen, as shown in the below screenshot.

Step 5: LOT wise report will be generated against the production tracking, which contains total gross weight, total tare weight, total net weight. Barcode will be generated in this report.

In this way, Weigh Scale Integration functionality is working in Sage X3 with the help of new custom screen and data is getting flown in the Production Tracking transaction.

Error: “MRK(501): Index Incorrect” in Sage X3

Sage X3 has a feature of BP net settlement, with the help of this feature we can settle open items like open invoices, unapplied prepayment, credit memos and debit memos against suppliers & customers.

One of our client tried to create BP net settlement against one vendor but an error occurred as shown in the below screenshot:

This error occurred because the screens BPOINET & BPOINET3 having a grid length of 501 as shown in the below screenshot and transactions against the vendor which is selected for for BP net settlement is exceeding that length.

To solve the above error, we have to follow below steps:

  1. Launch Development, Script Dictionary, Screen Dictionary, Screens
  2. Select BPOINET & BPOINET3 screens
  3. On the General tab where 501 is entered on the Details line in the Lines column, increase the value to a larger number to allow more records on the BP Net Settlement. (Maximum 32,267)
  4. Click Save.
  5. Click Validation.
  6. Kill session by doing logout from application.
  7. Log-in and check message does not occur again, error got fixed now.

Hence by following the above steps, we can solve the Error: “MRK(501): Index Incorrect” in Sage X3.

Validation of Supplier Invoice No and Date in GRN

We had a requirement from one of our client to freeze the Supplier Invoice No and Supplier Invoice Date fields in GRN but the condition was it should freeze only when the user create a Purchase Invoice against the same GRN. Once the Purchase Invoice is created the user cannot modify the data in the GRN screen for the Supplier Invoice and Supplier Invoice Date fields. Even the user cannot enter the same data which is been used for the previous entries Which means the system will not allow the duplication of data in the Supplier Invoice No and Supplier Invoice Date fields.

Navigate to : Purchasing -> Receipt -> Receipts

While creating GRN users can enter data in both fields even they can modify the entered data before creating the Purchase Invoice against the Purchase Receipt.

Navigate to: Purchasing > Invoices > Invoices

The user will create a Purchase Invoice against the same GRN.

After that in the GRN entry, the Supplier Invoice No and Date fields will get freeze as per the condition – once the Invoice is created the system will freeze those fields and cannot be further modified.

When the user creates a new GRN with the same Supplier No and Date which is used for another entry number then the system will generate a pop-up as shown in the above screenshot.
As a result, the user cannot modify or enter duplicate data in the Supplier Invoice No and Date fields once the Invoice is created.

Dynamic Departure time change based on Arrival time selection

In Sage X3, one of the client’s requirement was to have a dynamic departure time field update based on Arrival time field data under Management tab of Sales invoice module. The field takes value in the form of HH:MM. Below is the
Customization done for achieving the same.

New Stuff: Validation of Supplier Invoice No and Date in GRN

First to navigate to the screens that’ll be used for the below steps:

Sales Invoice: All > Sales > Invoices > Invoices (GESSIH)
Window Management: All > Development > Script dictionary > Windows
Scripts: All > Development > Script dictionary > Scripts

Refer the screenshots for reference:

Step 1: Head over to Sales invoice > Management tab and locate the fields. The initial default values in these fields are set to current system time.

Step 2: For the customization we require a couple of Action events to be assigned to Invoice Preparation time (Arrival time) and Invoice Preparation date (Arrival date) fields. The purpose of these events is to trigger our customization on Departure time and Departure date fields upon changes made.

Step 3: The customization logic performs 3 parts which are as follows:
1) If a new Invoice is being created through New button press then the Arrival time field and Arrival date field will default to Current system time and date and the Departure time field will default to +20mins (as per requirement) from Arrival time field and Departure date field will default to Arrival date.

2) After defaulting if the user changes the Arrival time/date fields then the respective changes will reflect on Departure time/date fields.

3) If the Invoice creation takes time, then upon creation the Arrival time field will reflect the Creation time and Departure time field will reflect change as per Arrival time.

Step 4: The key part is the conversion from Date-time data to CLBFile format (HH:MM format) and vice-versa to get the required changes made to the Departure time field. For this GDATETIME$, DATE$, VAL(expression) and FORMAT$ Sage X3’s keywords for achieving this.

Restriction on Sales Order if Advance Payment is not done

Sage X3 has a special feature of prepayment in the sales order screen which can be created against sales order. Using this feature, user can create prepayment with the order amount against sales order and then user has to create advance payment for the same amount.

New stuff: Dynamic Departure time change based on Arrival time selection

One of our client came up with a requirement that if user has created prepayment in the Sales Order screen for any particular entry by clicking on Prepayment button and entering amount in the grid then system will restrict user to create further Sales transactions such as Sales Delivery, Pick Ticket or Invoice etc. until advance payment is not done against the same sales order.

Let’s see the functionality with an example. Here we have created a Sales Order and created prepayment against the same sales order as shown in the below screenshot by clicking on Prepayment button from the Sales Order.

Now as per our requirement, we have to make advance payment against that sales order. But if advance payment is not done and we are going to create further transaction for same order then system will not allow to do further Sales transactions.

Here we haven’t created any advance payment against this order and we will try to create sales delivery by clicking on delivery button from sales order screen as shown in below screenshot.

As we haven’t created any advance payment against that sales order, system is restricting to create delivery of that SO by giving a popup message as shown in the below screenshot.

After clicking on “Ok” button of the popup message system will terminate further steps and will not allow us to create us delivery against this order.

As explained above, we have added same restriction on the preparation of pick ticket, invoice or proforma creation from sales order screen if Advance Payment is not done.
