How to solve “Tax code mandatory: no tax determination rule applies” error message in sales order screen

In Sage X3, we may come across a scenario where we get “No tax determination rule applies” pop up message. To solve this error message follow the below steps: 

Navigate to: Sales -> Orders -> Orders

Now, create the new sales order and in the product line set Tax Level 1 as “ECO” after doing this it will give the error below error message:

Before solving this, check the tax Rule (BP tax) which in the management tab and Product lines tax level in the sales order screen.

According to that define the tax in the Tax Determination screen by setting the same BP Tax rule and Product tax level which is on the sales order screen. Refer below screenshot:

Navigate to: Common data -> Common tables -> Taxes -> Tax determination

After doing this, it will allow creating the sales order with “ECO” tax level. Refer below screenshot:

Asset modification functionality in Sage X3

Asset modification is one of the important processes of Asset Management in Fixed Assets. Fixed Assets modification records the changes or adjustments to existing assets at the individual betterment level. While using Sage Business Cloud Enterprise Management (formerly Sage X3), we may encounter a scenario where we need to modify the asset amount.

Following the steps below makes it easier to achieve the functionality of Asset modification in Sage X3.

Navigate to Fixed Assets>> Fixed Assets>> Financial Assets

  • Select the asset for which you want to change the value of an asset.
  • From the right pane, click on “Refresh” option.

  • While modifying the asset, if the user wants to reduce the value of the fixed asset, enter the amount in negative on Tax exchange field.

  • Click on OK button and Save
  • Post this, Sage Enterprise Management system will automatically adjust the fixed asset amount.

Creating customized upload format to upload records in Sage X3 People

Sage Business Cloud Enterprise Management HR (formerly Sage X3 People) provides users with the best combination of functionality, technology, and value. One of the functions of Sage X3 People is the Import Function. Users can use the Import function to upload records in Sage X3 People. While uploading records, in the standard Sage X3 People, users might come across a standard upload screen as shown below. Sage X3 People allows users to create their customized upload format to upload records apart from the standard upload screen. This blog guides you with a step by step procedure to create a new upload format in Sage X3 People.

7 Simple Steps to create a new upload format

Step 1: Navigate to Usage → Import/Export → Import

Step 2: Navigate to Setup → Import/export → Import/Export templates

Step 3: Click on New and create a new upload template. Below is a sample of a new upload created.

Step 4: Scroll to the Identifiers section and select the required table.

Step 5: Click on the Fields tab and select the columns required for uploading the data.

Step 6: Click on the Action button and select Excel export as shown below.

Step 7: Transpose the above fields in the Excel. Post transposing, you will have an image as below.

Step 8: Fill the data in the columns. Below image shows the data in the Excel.

Concatenate the data in the fields and paste the concatenated data in a notepad file. While concatenating ensure that the separator (comma “,”) is used to separate the fields. The upload file should be similar as shown below.

Step 9: To upload the text file, below are the steps to be followed.

Navigate to Setup → Imports/export → Imports

Select the upload name and click OK. Users will see the screen as shown below after clicking OK.

Select the notepad file which contains the concatenated data and upload the same.

Activation of Optimization function of manufacturing module in Sage Enterprise Management

In Sage Enterprise Management (formerly Sage X3), Optimization function concerns a selection of work orders in process, for a given analysis horizon. Optimization function launch screen, it is possible to enter a start date, an end date, and a process date. According to the values entered for these various dates and the values assigned to the general setups OPTAMMAR and OPTMAVMAR as shown in below screenshot.

Navigate:  Setup > General parameters > parameter values >  GPA manufacturing

Navigate:  Manufacturing > Detailed Scheduling > Optimisation

The system then verifies that the WO to which the selected operation belongs falls within the horizon [entered start date – OPTAMMAR / entered end date + OPTAVMAR]. If this is the case, the operation is retained for analysis and therefore the WO in its globality, if not, it is excluded, because the system only selects complete WOs for analysis.

OPTAMMAR (Forward Optimisation margin)

The activation of the Optimisation function requires the choice of a planning horizon, which by default is proposed as a month, and which can be entered.

This horizon is then corrected by the OPTAMMAR parameter, expressed in weeks, and which represents the lead-time to be considered before the first WO of the selection in the planning horizon.

This margin is used to define the start date of the optimization calendar with respect to the chosen horizon.

OPTAVMAR (Backward Optimisation margin)

The activation of the Optimisation function requires the choice of a planning horizon, which by default is proposed as a month, and which can be entered.

This horizon is then corrected by the OPTAVMAR parameter, expressed in weeks, and which represents the lead-time to be considered after the first WO of the selection in the planning horizon.

This margin is used to define the end date of the optimization calendar with respect to the chosen horizon.

Enabling/Disabling Standard Delete and Cancel buttons

In the custom development, we have come across the problem where the standard buttons are not getting enabled or disabled. For e.g. we are calling the additional screen from the standard screen but when we make any changes to that additional screen as per the Sage X3 standard the main screen Cancel or Delete button is not getting enabled. After some finding, we have got the way to enable/disable standard button through code.

By using simple standard Enable/Disable command, we can change the state of standard buttons. There are two alternatives to using this command. Either we can use the button code or button number. Kindly refer to the below snippet of code of both alternatives:

Alternative 1

Here,

GSTAANU is the code for a Delete button.

GSTAFIN is the code for Cancel button.

92 is the code for a Delete button.

1792 is the code for Cancel button.

Checking whether class instance can be modified in Sage Enterprise Management

In Sage Enterprise Management, we have a built-in “Isreadonly” property to check whether the class instance can be modified. This built-in property returns whether the properties of an instance can be modified or not. It can be tested but not modified.

Syntax

  • If MY_INSTANCE.isReadonly is 1, properties cannot be modified. Any modification attempt will raise an error with error code 143.
  • If MY_INSTANCE.isReadonly is 0, properties can be modified and accessors will be triggered. This is the default value when a class is instantiated.

Parameter Details

MY_INSTANCE: name of the name of the class instance which is to be tested. If the value is 0 then the Instance can be modified.

How to solve “No sequence is assigned to this document” error in Purchase Shipment Screen

In Sage X3, we may come across a scenario where we get “No sequence is assigned to this document” pop up message while creating the purchase shipment. To solve this error message follow the below steps.

Navigate to: Purchasing → Shipments → shipments

Now for solving this message,

Navigate to: Parameters → General Parameters → Sequence number definition → Assignment

Now in this screen, select purchasing module which is for ‘all legislation’ from the left side, then go to shipment document type as we can see that it is set as ‘No’, change it to ‘Yes’. Refer below screenshots:

Now, go back to purchase shipment screen,

Table setup/import functionality in Sage Enterprise Management (Sage X3)

In Sage X3, ‘Table setup/import’ is a coding translation function that is used to describe the correspondence between a Sage ERP X3 import/export template and file created by other templates, but also to give the default values to fill the fields that are not present in the original template.

Navigate to Parameters > Usage > Imports / Exports

  • Field no: Specify the number of the X3 template field.
  • Condition: We can add any condtioin as per the requirement, If the condition is not verified, the field will be empty.
  • Initialization: Specify a value or an expression that will force the value of this field (default value).
  • Execution button: Allows us to select the template file and execute it.

With the help of this screen, we can create a file which can be imported by using standard Sage X3 import/export template.

How to setup PDC (Postdated Cheque) in Sage X3

In a live scenario, there is always a possibility with your customer regarding the management of postdated cheque that is received from the Business Partner. The post-dated cheque is not payable till the date which is shown on the face of the document.

This facility will allow us to allocate the cheque amount in a different account and not bank account on a particular date and later on the date of the cheque, the amount will be transferred to bank account.

Below is the setup that can be done in Sage Enterprise Management (Sage X3) for postdated cheque management.

  1. Create a GL Account for PDC Receipt, and then a Journal Code.

  1. Link the Journal Code to the Bank Code by choosing the Journal Type as “Check to Cash”.

  1. Create a New Payment Entry Type for PDC Received,
  • enabling Cash Management Posting, and choosing the Group Entry for it as “STEP1”,
  • Journal Type as “Check to Cash”
  • Check Remittance
  • Chose the Bank Posting Group Enter as “STEPN

  1. Create a Payment with the new PDC Received Entry Type. When you post it, the system will create the entry

How to setup expense notes defaults and maximums on portal in Sage X3

Step 1: Ensure that the variables containing the rates used as defaults and/or maximums are ticked for expense notes. Once “expense notes” is ticked this Variable cannot be used in a heading.

Step 2: Flag input to the expense notes tab.

Step 3: Ensure that all the variables are captured.

Note: A separate variable is required for the portal max/default from that which is used in the setup of the headings.
