How to Prohibit Zero lines in Invoice

We came across the requirement where client wants to disallow the user from entering Zero Amount in line level in Invoice.

In X3 we have setup in Parameters values where we can stop the user to enter zero values in line level.

Goto–> Setup–> General Parameter– Parameter Values -TC Commondata-

We need to enter detail of Invoice rules as below

After performing the above setup we will be not allowed the enter the zero value in line level at invoice level.

In Sage X3 Version 9 there are some changes with respect to the authenticating process of web service while connecting form third party application like .NET. From PU9 onward it’s mandatory to Pre-authorize the connection with the user name and password.

We need to create a class in .NET which connects the Sage X3 web service class through  Sage X3 url path  ‘/soap-generic/syracuse/collaboration/syracuse/CAdxWebServiceXmlCC ‘ location which is specified in ‘Web Services’ in Administrator module (refer to the below screen shot) where we need override the web request to append the authentication credentials.

Below is the snippet of code where we have called the methods of the class and passed the URL and set the pre-authentic flag as true.

Remaining steps for calling Sage X3 Web Services is same as prior versions.

We may come across the situation where you need to find out the  table or the screen of any filed, Sage X3 provides us the functionality to search  any field by its field name

Go to the >>Development>>utilities>>Searches

As shown in above screenshot put the field name check any check box whether you want to find out the screen or the table of the field and click ok button Sage X3 will return all the screens and tables where the field belongs.

Withholding Tax is also called as retention tax or TDS. Its requirement of Government to deduct or withhold a particular percentage from paying to the vendor and pay such amount to the Government on behalf of the company. It’s a kind of Indirect Tax. Withholding Tax (WHT) is tax withheld by a company when making a payment to a vendor, in which the full amount owed to that vendor is reduced by the tax withheld.

Withholding Tax can be deducted at two points of time. It can be either at the time of invoice or at the time of payment. So for this Withholding tax types are to be created one for invoice and second for payment.

Define Withholding Tax Type for Payment Posting

Withholding tax type is assigned for the payment purpose and the same will not get triggered at the time of Invoice Posting. The withholding information is to be provided while posting for such document for Withholding Tax Payment

To successfully bring this functionality in Sage X3 follow below steps.

Navigate to All>>Parameters>>Organizational Structure>>Companies>>Accounting Tab

Retained checkbox should be checked.

Renewal of Service Contracts

“Renew the service contract” functionality can be achieved by using below steps:

Pre-requisites: 

1. Service contract must be invoiced.

Navigate To: Customer Relations -> Customer Support -> Service Contract -> Management tab

1. Change the end date of the contract.Select next date of the current end date.

e.g in above screenshot, we have changed end date from 19/07/17 to 20/07/17.

2. Check Automatic Renewal checkbox.

3. Again create an invoice of the contract for newly changed end date(i.e. 20/07/17).

 

Navigate To: Service contract > History tab

In History tab, Renewal section we can see the start date and end date of the Renewed service contract. i.e. 21/07/17 to 20/08/17.

This way we can do the Renewation of the contracts.

The system procedes with a buffering of the Affzo to optimisation. In this way, in order to re-display it, it is necessary :

– or an entry instruction such as Boxinp
– or the display of a message by Infbox, Errbox,…
– or by forcing with the Envzo instruction
This instruction is notably used to display a field in a window that cannot be entered.

Functionality of the Unit Conversion field in Price List setup

In Sage X3, we may come across a scenario where we fetch the gross price directly from the price list without defining the product for units other than sales unit in the price list screen. This functionality can be achieve by following steps:

Navigate to:  Setup → Sales → Price Lists → setup

In this screen, set the unit conversion to Yes.

Now take one product and check its Stock unit, Sale unit and Pack unit.

Navigate to: Common Data → Products → UOM

Now define the price list for that product.

In the above screenshot, we have defined the product for only sales unit i.e SAL= UN, so what will be the effect of this on sales order screen.

In the Price List screenshot, we didn’t define the product for SAL = BAG , but if we do the transaction on the sales order for putting SAL = BAG, it will fetch that price which is defined in the price list.

If we set the Unit Conversion as ‘NO’, then, in this case, it will only fetch the gross price for the product for which Sales unit is defined in the price list.

In Sage X3 latest versions, we are provided with new feature to define filter criterion on database. This function defines a filtering condition on a database query. The condition is expressed in Sdata where syntax.

This function is only valid inside a Where clause of a database instruction (For, Filter, File, Link).

Syntax:

• EXPRESSION is a filter expressed in SData where syntax.
• VARIABLES is an array containing the variable names used in the filter.
• COLUMNS is an array containing the database columns referenced by the variable names.

You may come across a scenario where you want to modify the customer return quantity after the creation of customer return.Sage X3 have a special feature to achieve this functionality.Follow below steps to achieve this feature:

Navigate to Sales -> Returns -> Customer returns

(select a delivery from left list and create a customer return of full quantity entered in delivery.(see below screenshot)

As you can see in above screenshot, the return qty field is disabled and this will not allow the user to modify the qty.

To overcome this click on action button of the line and then click on “Change Receipts”.

After clicking on action button below screen will display.

Enter the return qty you want to return as shown above screenshot and click on save button. After changing qty return qty is updated on customer return screen.(see below screenshot).

Auditing Connections in Sage ERP X3

Sage ERP X3 has come up with an interesting feature through which users can now easily monitor or Audit connections in Sage X3. These can be done whenever the AUDIT activity code is activated, the sage software is able to trace all the connections/disconnections to the current folder. These data stored in the ALOGIN table, can be viewed by means of this function.

Description:

1. When Starting the function, the inquiry criteria are defined (they can relate to the connection date & identity of the users, both at X3 & system levels). This function can also be limited to tracing the faulty connections.

2. The grid that is displayed once the connection criteria have been chosen contains all the selected connection lines, sorted out in increasing chronological order. It should be noted that this order corresponds to the connection order. In effect, upon connection, a line is created in the ALOGIN table and a chronological number is them assigned to it. Upon disconnection, this line is updated.

Sage X3 latest versions provide a new feature to add back slash () in a string.

Basically, a string can contain any characters. But, some special characters like back slashes are not allowed in JSON constant in Sage X3.

The use of this function is to add the back slash () character in a string. If there exists any back slashe in JSON constant(a string of characters), to circumvent/avoid these back slashes that cannot be present in a JSON constant (“, \, tab, or CR), these function is preferred.

The syntax for the same is as follows:

Syntax:

DEST_STRING=escjson(SOURCE_STRING)

• DEST_STRING has type Clbfile or Char.
• SOURCE_STRING has type Clbfile or Char.

We may come across a scenario where we get “record already exist’ error while creation of transactions and masters. The problem can be solved by using below steps:

In below screenshot, we have faced an error while creating a product.

This error occurs because the product of sequence number BMS089 already exists in the X3 for the same sequence number.

To overcome this error navigate to

Development > Utilities > Miscellaneous > Sequence Number Values

Select the category of the product i.e. “BMSOL” in Seq counter field and enter number “90” in next value field as shown in below screenshot and click on save.

Now again create a product.

Product “BMS090” is created successfully in X3 as shown above screenshot. Similarly, user can solve this problem for other transactions and masters also.
